Job Description: Probate/Estate Planning Legal Assistant or Paralegal
Assist and provide a range of legal support and administration to lawyers and other legal professionals engaged in probate and estate planning. Must provide top quality customer service, be a team player and a self-starter. Duties include drafting estate planning documents and managing the progress of files. You will also perform some office administration duties such as scanning/copies, greeting clients warmly and answering phones.
The ideal candidate will have at least 3 years’ experience in one or more of the above practice areas. However, experience does not trump intelligence, character, professionalism, and personality. Attention to detail, thinking quick on your feet, multi-tasking, and providing astounding customer service will enable you to succeed with our firm.

DESCRIPTION OF THE PARALEGAL JOB:
- Responsible for large case load of guardianship, probate, and trust administration cases
- Draft all correspondence and documents necessary in the guardianship, probate, and trust administration process
- Track and calendar necessary deadlines
- Prepare annual guardianship reports
- Prepare guardianship, probate, and trust inventories and accountings
- Maintain attorney calendars; includes scheduling and coordinating meetings and hearings
- E-filing
- Legal research, when necessary
- Communicate frequently with the Clerk of Court, Judicial Assistants, attorney offices and other interested parties regarding ongoing cases
- Primary point of contact for guardianship, probate, and trust administration clients
- Responsible for corresponding with banks, businesses, insurance companies, brokerage firms, employers, accountants, and others to collect asset information and assist clients when necessary to obtain information and/or complete transfers of assets
- Maintain and update case status lists for attorney review
- Enter billable time into Bill for Time billing system, when necessary
- Maintain and organize the firm forms directory, including updating forms to maintain compliance with Florida Statutes
- Assist with answering phones and scheduling appointments, when necessary
- Notarize documents for clients, when necessary
- Provide services as a witness for execution of legal documents, when necessary
