Benefits and Leave Coordinator DESCRIPTION
This role reports to our Benefits & Compensation Supervisor. The Benefits & Leave Coordinator will be the first point of contact for our employees on all benefits, leave, disability and return to work related queries. This role will evolve as the company evolves and grows. We are looking for someone that is sharp, self-driven, assertive; a self-starter with strong interpersonal skills and the ability to work with people at all levels of an organization; either virtually or in person. To be successful in this role, the ideal candidate will have to have a clear understanding of absence management and benefits administration, enjoys fast pace, ambiguous and/or ever-changing environments, and is able to hit the ground running upon being hired. The ideal candidate is self-sufficient; approachable, responsive, results-oriented, proactive, and trustworthy with effective oral and written communication skills and the ability to be strategic, detail-oriented, and highly organized. This role will need a high level of skill in handling sensitive and confidential situations/information with the demonstrated ability to maintain strict confidentiality, be a great team player as well as an independent contributor; good time management skills; strong customer service focus and working knowledge and experience with HRIS (preferably ADP WFN) and Microsoft Office is a must.
DUTIES & RESPONSIBILITIES
- Act as first point of contact for all employees queries about benefits, leave of absences, disability, and return-to-work programs related issues or concerns and resolve or escalate appropriately
- Administer and manage all aspects of leave of absence and return-to work programs including collecting and maintaining all required documents, preparing leave designation or denial notices, and providing follow up communications timely and appropriately, as necessary
- Maintain employee leave cases in HRIS including creating a leave case, monitoring, and populating employee's timecard while on leave and reinstating employees from leave
- Independently approve and/or deny leave cases based on relevant leave documents including medical certifications
- Manage STD/LTD programs and vendor relationships. Ensure disability claims are filed timely with applicable carriers and coordinate leave cases with state related disability and leave programs appropriately
- Be knowledgeable of company employee benefit programs including time off benefits and how these programs interact with employee leave, disability, and return to work procedure
- Coordinate all employee benefit programs during a leave of absence including premium payment arrangements
- Assist Risk & Safety Coordinator with managing employees leave case when on worker's compensation. Serve as back up to Risk & Safety Coordinator with worker's compensation claim management in absence of the Risk & Safety Coordinator
- Administer the organization's benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits
- Manage the enrollment, renewal, and distribution processes for benefits
- Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll/HRIS system for payroll deduction
- Serve as an in-house coordinator for the EAP program. Work with management to assist employee in utilization of the EAP program on an as needed basis
- Coordinate and conduct effective and appropriate communications to employees, through written, verbal, and graphic announcements, policies, processes, and employee meetings; virtually and in-person as needed.
- Facilitate benefits orientation meetings with employees to ensure understanding of benefits and answer any questions or concerns employees may have and explain benefits self-enrollment system
- Assist employees with health, dental, life and other related benefit claims
- Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives
- Administer all aspects of COBRA
- Partner with the Benefits & Comp Supervisor to review and maintain company policies and procedures related to leave of absence management, disability, return-to-work, and benefits ensuring they comply with current and any changes in regulations
- Assist Benefits & Comp Supervisor in completing benefits reporting requirements.
- Prepare finalized HR documents; including creating regular reports and presentations on HR metrics (e.g., enrollment rates) and other ad hoc reporting needed by the department
- Ensure company is compliant with all local, state, and federal benefits and leave laws
- Work closely with internal and external partners to ensure timely communication and effective implementation of company policies and processes
- Enhance department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
- Protect the organization's values and maintains the department's integrity and employee's confidence by keeping information confidential
- Coordinate and organize all medical information and ensure HIPAA and Employee Privacy guidelines are closely monitored and compliance with Data Privacy and Protection Guidelines
- Accomplishes human resources and organization mission by completing related results as needed
- Understand and demonstrate safe work practices at all times to ensure a safe work environment.
- Comply with all company policies and procedures
- Complete special projects and other duties as assigned by supervisor
- Determine employee benefits practices by benchmarking best practices; researching industry and employment trends; tracking legislation and estimating impact
POSITION REQUIREMENTS
KNOWLEDGE, SKILLS, AND ABILITIES
- Be competent in FMLA, ADA/ADAA, USERRA and other federal or state regulated leave and disability laws
- Understanding and working knowledge of labor laws
- Excellent verbal and written communication and interpersonal skills with an ability to work with various levels of employees
- Ability to effectively handle interpersonal relationships and sensitive HR issues.
- Ability to protect and handle highly confidential information
- Proven work experience in HR benefits or leave administrative roles
- A high level of computer literacy with the ability to understand and use Microsoft Office applications proficiently
- Demonstrated experience with multi-tasking and problem-solving skills.
- Excellent organizational skills and time management, with an ability to prioritize important projects with keen attention to details
EXPERIENCE AND CREDENTIALS
- Bachelor’s Degree in Human Resources, Business, or related field preferred.
- 1-2 years of administrative experience; preferably working in HR
- 1-2 years of leave/absence management, and benefits experience
