The Scheduling Coordinator plays a vital role in advancing our mission to make a difference in the lives of children with Autism Spectrum Disorder and/or related disabilities and their families. The Scheduling Coordinator partners with the Operations and Clinical Team to schedule Behavior Therapists based on their home location and match them to clients based on where they live.
We are seeking a part-time Bilingual Spanish Scheduling Coordinator
What will you do?
Fill permanent scheduling needs based on Behavior Therapist communication
Update patient and staff availability in Central Reach
Maintain up-to-date records on the availability of staff and clients
Assists in ensuring contract fulfillment for each client based on contracted services
Coordinate initial assessment process between insurance provider, caregiver, and clinical team members
Address client or team member concerns regarding scheduling
Update client caseload spreadsheet with incoming schedule changes
Modify and update client schedules as necessary
Address concerns with filling schedules/communication directly with Operations Coordinator
Report cancellation and census data to the Operations Manager on a weekly basis
Evaluate staffing needs on a weekly basis and partner with the Talent Acquisition Team
Communicate all schedule changes to Behavior Therapists, clients, and Clinical Team
Input new client information into data base and update information as needed
Other duties as assigned
Who are we looking for?
Fluent in English and Spanish
High school diploma or GED required
Proficient in software systems, Excel and Google Suite
2-3 years of Medical Office experience handling scheduling for a hospital or clinic
Experience training scheduling teams is preferred
ABA scheduling experience is strongly preferred
Must have excellent critical thinking, communication and interpersonal skills
Demonstrated ability to multi-task and pay high attention to detail
Computer literacy skills including G-Suite and Microsoft Office
Must be flexible and adaptable to rapid changes in the daily work environment and be resourceful in solving problems
Ability to work in a fast-paced office environment
