Jia Law Group is a full-service global law firm headquartered in New York City with offices in California and China. We are a growing firm seeking people that will fit in well with our firm’s culture and atmosphere. Successful candidates must have a demonstrated record of attention to detail, and excellent communication and writing skills.
POSITION SUMMARY:
Report to the Operations Manager and Business Development Associates to perform a wide variety of tasks. Responsibilities will include, but are not limited to, the following:
- Provide excellent customer service to clients and visitors in a professional manner;
- Answer and manage inquiries from calls and the firm’s official WeChat account in a timely and professional manner;
- Communicate clearly and accurately any issues concerning the workload to the assigned attorneys on a timely basis;
- Set up in-person meetings, conference calls (video/audio) when needed;
- Maintain existing the vendor database and develop relationships with new high-quality vendors;
- Assist the Operations team with daily office management, including headquarters and branch offices;
- Manage conference room scheduling and coordination;
- Troubleshoot in-house technology issues (computers, iPads, Wi-Fi, fax, phones, etc.) and coordinate with external technical support to resolve problems in a timely manner;
- Order, store and organize all office supplies;
- Enter a variety of data into data trackers, including, but not limited to, purchase order invoices and the control list of receiving and shipping;
- Manage incoming and outgoing letters and packages;
- Bind meeting materials, and copy and print documents;
- Manage the firm’s file databases and physical archives in accordance with firm standards;
- Act as a liaison between the logistics and operations department;
- Comply with and understand the firm’s operations, policies and procedures; and
- Perform other related duties as assigned.
QUALIFICATIONS:
- Bachelor’s degree;
- Bilingual in English and Chinese a plus;
- Related experience is preferred;
- Experience with Microsoft and Google Suite of products;
- Excellent analytical, troubleshooting, organizational and administrative, planning and communication skills;
- Ability to handle sensitive matters and maintain confidentiality; and
- Strong attention to detail.
