    Position: Office Manager/Job Cost Accountant (JCA)

    Reports To: General Manager Salary Range: $45,000 - $55,000 - depending on qualifications

    Role Overview:

    Paul Davis Restoration of East and South Austin, an industry leader in restoration and reconstruction for insurance providers and commercial properties throughout the United States, is looking for a dynamic and experienced Office Manager/Job Cost Accountant to join our growing team in Austin, TX.

    The Office Manager/Job Cost Accountant (JCA) manages job costing in RMS and QuickBooks, ensures proper accounting records, and supports daily operations throughout the office in support of the general manager and owner. The Office Manager/JCA plays a vital role in maintaining financial accuracy, managing and supporting teams, and communicating effectively through modern technology.

    Key Responsibilities:

    Support daily franchise operations in coordination with the general manager and owner.

    Manage all phases of job costing within RMS and QuickBooks Accounting Software.

    Manage the daily operations of the franchise as needed when the owner is not available.

    Maintain all accounting, computer and financial records for franchise in conjunction with a CPA.

    Be empathetic and show a sense of urgency while communicating through modern technology.

    Ensure all job costs follow accounting guidelines.

    Communicate empathetically with stakeholders, including customers, vendors, insurance carriers, and team members.

    Monitor subcontractor compliance (safety certificates, insurance).

    Process payroll and timesheets.

    Qualifications (Requirements):

    Strong organizational skills. Ability to manage multiple due outs and schedules simultaneously. Must be able to prioritize and manage time. Must be able to prioritize and manage time.

    Proficient in QuickBooks, accounting principles, and job costing.

    Ability to manage time and prioritize effectively.

    Demonstrated ability to work well under busy work environments.

    Possesses excellent communication skills

    Demonstrated ability to provide exceptional customer service.

    Strong leadership skills but a good team player, who is adaptable to change in fast paced environments.

    Excellent communication skills with a dedication to customer service.

    Fluent in English with a clean driver's license.

    Availability for nights, weekends, and overtime as needed.

    Eagerness to learn and adapt.

    Role on the Team (Job Responsibilities):

    Public Relations – the ability to easily establish a rapport with insurance carriers, customers, vendors, subcontractors, adjusters, agents and fellow employees.

    Collecting Information – possesses strong listening and communication skills, asks questions and monitors various aspects of the business to detect problems – (phone voice is a must)

    Strong clerical and administrative skills, detail oriented, trustworthy, and intermediate level knowledge of QuickBooks

    Understanding of Credit and Debits

    Understanding Journal Entries and how to make them

    Intermediate+ Excel skills

    Self-Starter- schedule work priorities, plan the day logically and multitaskPublic Relations: establish a rapport with insurance carriers, customers, vendors, subcontractors, adjusters, agents and fellow employees

    Manage the daily operations of the franchise as needed when the owner is not available

    Maintain all accounting, computer and financial records

    Request and maintain updated Workplace Safety certificates & insurance coverage for subcontractors

    Enter timesheets and process payroll

    Focus and dedication to providing excellent customer service.

    Assist other team members when needed and foster a positive working relationship with other departments.
