Are you highly organized, detail-driven, and great at keeping things moving behind the scenes? SERVPRO Team Harvey is looking for a Job File Coordinator to join our growing restoration team in New Jersey. With locations serving Hudson County, Monmouth County, and West Somerset County, we specialize in fire, water, and mold cleanup and restoration — and we need someone like YOU to help us manage the workflow that makes it all possible.
What You’ll Do
As our Job File Coordinator, you’ll be the administrative backbone of our production team — ensuring that each job file is accurate, compliant, and complete from intake to closeout.
Key Responsibilities:
Track, review, and organize all job file documentation (photos, estimates, contracts, logs, etc.)
Communicate with customers, insurance adjusters, and team members regarding job progress
Input data into SERVPRO’s proprietary systems including WorkCenter and DryBook
Assist with scheduling, work orders, and internal coordination to keep jobs moving
Prepare job files for billing and ensure compliance with program guidelines (Allstate, State Farm, Farmers, etc.)
Follow up on missing paperwork, signature forms, and audit corrections
Support production managers with daily updates and job status reports
What You Bring
Strong attention to detail and love for organization
Excellent communication and customer service skills
Prior experience in restoration, insurance, or construction admin is a plus
Ability to multitask in a fast-paced, deadline-driven environment
Proficiency with Microsoft Office and willingness to learn SERVPRO systems
Bonus if you’re familiar with Xactimate or job auditing processes
