ACCOUNTS PAYABLE
OBJECTIVE: Completes payments and controls expenses by receiving, processing, verifying and reconciling invoices and operating accounting software programs.
ESSENTIAL JOB FUNCTIONS:
o Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries: codes items as invoices, expense reports, check requests, etc. with correct codes conforming to standard procedures to ensure proper entry into accounting software program.
o Pays vendors by monitoring discount opportunities: verifying federal ID numbers; scheduling and preparing checks; resolving purchase orders, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments; attaches corresponding purchase orders to incoming invoices with supporting documentation.
o Investigates and resolves problems associated with processing of invoices and purchase orders.
o Pays employees by receiving and verifying expense reports and requests for advances; preparing checks.
o Maintains accounting ledgers by verifying and posting account transactions.
o Verifies vendor accounts by reconciling monthly statements and related transactions.
o Maintains historical records by operating accounting software programs and filing/scanning documents.
o Disburses petty cash by recording entry; verifying documentation.
o Protects organizations value by keeping information confidential.
o Updates job knowledge by participating in educational opportunities.
o Performs other duties as required to support the accounting department.
o Perform other job tasks as assigned
QUALIFICATIONS:
o 10-key by touch.
o Tracking budget expenses.
o Knowledge of mathematical principles, data entry skills.
o Computer applications such as word processing, excel, Peachtree.
o Excellent written and verbal communication skills; strong organizational skills.
o Attention to detail, accuracy, analyzing information.
o Ability to multi-task.
o Open to change and willing to learn new skills.
o Ability to follow-up on pending issues.
o Ability to meet deadlines.
o Customer service techniques, practices and principles.
o Ability to prioritize job assignments, Multi-Task.
EDUCATION/EXPERIENCE:
o High school diploma/GED. Additional education highly desirable.
o 3-4 yrs. experience in an office environment specializing in clerical, accounting clerical, or administrative/business experience with a strong emphasis on communication.
