    Job Description

    We are seeking a confidential assistant to support the VP/GM Service Businesses. In this role, you will perform administrative and research tasks of both a confidential and general nature.

    The successful candidate will be able to work independently and achieve goals and objectives with minimal supervision.

    • Prepare correspondence, memorandums, and reports, and assist with research, expense tracking, and statistical reporting
    • Must have a good understanding of our company's structure and key stakeholders.
    • Maintain records and files, and perform other administrative duties as needed
    • Manage calendars, appointments, travel arrangements, and expense administration
    • Handle calls, emails, mail, and visitors, and respond to information requests
    • Organize office space, coordinate projects, and assist with special assignments

    Specific Responsibilities

    • Manage appointment schedules and calendars
    • Handle phone calls, mail, and emails
    • Manage internal group lists and vacation calendars
    • Act as a liaison between different teams and assist with routine tasks
    • Assist with tracking evaluation processes and report on trends
    • Maintain confidentiality and organize records and files
    • Coordinate international and domestic travel arrangements
    • Process expense reports and create purchase orders
    • Assist with creating and formatting documents and presentations
    • Coordinate office resources and resolve issues with vendors
    • Manage office purchases and assist with other assignments as needed

    ** Skills/Requirements**

    • High school diploma required
    • Associate or bachelor’s degree preferred, but not required.
    • Proficiency in Microsoft Word, PowerPoint
