Position Overview
The Administrative Assistant provides administrative support to Chief Information Officer and the IS department, and reports to the Senior Program Manager. In this capacity, the Administrative Assistant manages daily schedules and provides ongoing team support by managing department calendars, preparing for scheduled meetings, creating various sources of meeting materials, maintaining filing systems, managing budgets and expenses, and tracking project activities. The Administrative Assistant acts as an interface between team leaders, employees, other departments, vendors and customers to provide timely support and facilitate smooth operations.

Provide general administrative assistance to Chief Information Officer and IS Department including but not limited to management of team/department calendar; booking of travel arrangements; creation and distribution of presentations and reports; attendance to meetings and recording of meeting minutes; and maintenance of filing and reporting systems, answer phone for CIO and take accurate messages, order supplies & gifts, process mail, support IS team in scheduling meetings/appointments, reserving conference rooms, coordinating food/refreshments, coordinating access for guests, organize Lunch & Learn sessions.
Coordinate, track and assist with office activities or projects within team, department or facility.
Coordinate and lead efforts for fundraising for IS department for C&S Charity Golf Outing and Adopt a Family.
Communicate both internally and externally to requests, validate and/or acquire information related to IS Department
Liaison between IS department and legal for review of all IS legal contracts and oversight for tracking, and filing these contracts
Prepare professional business communication documents for internal and external contacts including meeting minutes, presentations, memos, letters and emails.
Perform additional duties and responsibilities as assigned.

Specialized Knowledge :
Special Skills : Advanced understanding of Microsoft Outlook, Word, PowerPoint, Excel or Google Workspace equivalents (Gmail, Documents, Sheets, Slides and Forms.)
Physical abilities: Lift boxes (occasionally) Office supplies, gift items, etc.
Other: : High standard of integrity and reliability; ability to remain strictly confidential is a must.
