We are looking for an administrative assistant to join our team as we build a new hotel on Busch Blvd in Tampa, FL. You will work closely with the Jobsite Superintendent and the Assistant Jobsite Superintendent at the jobsite. You will receive support from and work with the team in our main office as well.
This is a part time position. 15 to 20 hours per week. There is some flexibility in the days and hours worked, but the hours will need to be during the day between 7:30 AM and 4:30 PM.
The key responsibilities include but are not limited to:
Track what subcontractors are onsite and record it on the daily report.
Track deliveries and record it on the daily report – this includes subs deliveries.
Review Exhibit D of pay applications to make sure that any sub that had a delivery has listed that vendor on this form.
Assist Super to ensure weekly meeting is held and record attendance. Prepare a summary of notes and distribute to the project sub list.
Inventory Control:
a. Help check in DI deliveries (we do not check in any subcontractor’s deliveries).
b. Compare delivered items to purchase order.
c. Work with Admin (in office) to address damaged items and/or shortages.
d. Assist Superintendent with a system to track inventory in storage containers.
Ensure all licenses (both contractor and business) are up to date for every sub working.
Make sure Superintendent does Pre Construction meeting with all subs and the corresponding checklist is completed and signed by both parties.
Work with Superintendent/Asst. Superintendent and Project Manager to send out Notice letters to subs for cleanliness and/or missing meetings.
Track dumpster pulls on daily report
Assist Superintendent to determine port a potty and storage trailer usage. When to get them on site – and when to get them picked up.
Track equipment rental dates work to return in a timely manner.
Track equipment in the Gang box.
Help with punch list.
Keep office organized.
Orders office supplies.
Assist with moving office into building. Take video of office when trailer is cleaned out.
Assist with close out documents: attic stock, paint colors used, as built drawings etc.
Ensure all paperwork is onsite:
a. Submittals
b. Current drawings
c. Current drawings list is posted
d. Current schedule is posted
e. Scopes of work for every subcontractor
f. Copies of purchase orders
