JOB OVERVIEW:
The Broker Services Representative (BSR) for John L. Scott’s Poulsbo office provides administrative support to the Office Staff and Real Estate Broker Associates while working at the front desk. This important role sets the tone for the office culture by greeting guests, answer phones, returning email inquiries and assisting Broker Associates with a variety of tasks. The BSR may take on additional responsibilities such as listing/transaction coordination, marketing projects and tasks related to accounts receivable. This position requires a friendly, professional demeanor, must be computer/systems savvy and have a passion for customer service. PRIMARY RESPONSIBILITIES MAY INCLUDE, BUT ARE NOT LIMITED TO:
· Answer phone, return email inquiries and greet guests and they enter
· Provide a range of Broker Services: listing, transaction, UCR and marketing services. Includes all tasks on the Broker Services Menu of Services
· Act as liaison between brokers and the IT department
· Provide electronic UCR services, including database management, to brokers through Constant Contact/MyDesk
· Maintain a trusting and team-oriented relationship with the entire branch support team
· Provide information to brokers regarding all John L. Scott Client/Broker Services
· Provide technical assistance and/or training with equipment and John L. Scott software applications
· Assist in the implementation of John L. Scott tools and programs within the branch
· Using accounting software, CommTrax, enter/update transactions, listings and provide account receivable support
· Process deal and listing checklists after office leader review
· Follow-up on listing and transaction paperwork
· Process broker commission checks
· Close office files and process paperwork for the official file in accounting
· Additional tasks and projects as assigned
· Reliable attendance to be sure initiatives and processes are moving forward as well as ensuring customer service levels are where they need to be
REQUIRED KNOWLEDGE & SKILLS:
· The ability to understand the Company culture in client/broker/management relationships
· Practiced in Microsoft Suite such as Outlook Word, Excel, Publisher, Adobe Acrobat, PowerPoint etc…
· Accuracy and detailed oriented is key in performing all tasks
· Effective communicator both verbal and written
· Willingness to take on new tasks and assist Brokers as needed. This can require trouble shooting.
· Applied knowledge of the technology available to serve the real estate industry
· Ability to perform all tasks on the Broker Services Menu of Services and general office duties
· A developed understanding of the Transaction and Listing process, Escrow, Mortgage, Title and Home Warranty Insurance products and services
QUALIFICATIONS:
· High school diploma or equivalent certification required, a BA or AA degree preferred
· One or more years in customer service experience
· General office experience, PC/MAC and data entry skills
· Intermediate to advanced Microsoft Office skills
· A professional appearance and demeanor
· Sales and/or Real Estate experience helpful but not required

· The position is full time, Wednesday-Sunday, and is considered non-exempt for purposes of Wage and Hour Law
