    Job Description

     A LEADER IN GENERAL CONSTRUCTION, FUEL FACILITY MAINTENANCE AND COMPLIANCE TESTING IS LOOKING FOR SELF-MOTIVATED, DEPENDABLE AND EXPERIENCED CANDIDATES TO IMMEDIATELY FILL THE FULL-TIME POSITION OF ADMINISTRATIVE MANAGER FOR THE CONSTRUCTION DEPARTMENT. 

    The candidates must have knowledge about every stage of the construction process, from scope development to project closeout, and must have the ability to proficiently manage the following responsibilities:

    ADMINISTRATIVE MANAGER FOR CONSTRUCTION DEPARTMENT:

    ·         Supervise day-to-day operations of the Project Coordinators and assist Project Managers and other staff members as needed.

    ·         Plan and coordinate administrative procedures, systems and devise ways to streamline processes.

    ·         Ensure operations adhere to policies and procedures.

    ·         Recruit and train personnel and allocate responsibilities.

    ·         Assess team performance, provide coaching and guidance to ensure best performance.

    ·         Work with Project Management and Accounting to manage budget, job coding, monitor spending.

    ·         Review / approval of time cards to payroll for processing.

    ·         Review subcontracts for completeness and accuracy.

    ·         Provide daily training of staff to ensure they understand the processes and procedures to ensure accuracy of work product.

    ·         Review RFIs, submittals, change orders, billing, status logs, etc. for accuracy and completeness before VP review.

    ·         Prepare prime contracts, exhibits and associated documents and submit to Architect/Owner.

    ·         Request insurance certificates for new projects, cities, counties, etc.

    ·         Request bonds: bid bonds, payment and performance bonds, license and permit bonds, etc.

    ·         Collection: follow up with clients to ensure payments are timely received from client.

    ·         Monthly WIP statement - work with VP of Construction to review and adjust WIP as necessary.

    ·         Audit projects to verify accuracy of costs.

    ·         Work with the accounting department to re-code/reclassify costs as necessary.

    ·         Ensure integration accuracy between project management and accounting software systems.

    ·         Possess strong organizational, communication and leadership skills.

    ·         Ensure close-out books are submitted within 2 weeks of project completion.

    ADDITIONAL REQUIRED QUALIFICATIONS:

    ·         Proven experience as an administrative manager

    ·         Strong verbal and writing skills (English language grammar and punctuation).

    ·         5 years minimum experience in construction, contracts, budgets and related processes and procedures.

    ·         Team player who can work collaboratively to achieve goals as well as work well independently.

    ·         Results-oriented with problem solving ability and a keen eye for detail and deadline awareness.

    ·         Ability to multi-task and adapt willingly and quickly to changing priorities and responsibilities.

    ·         Maintain a high level of accuracy and consistency in projects.

    ·         Analytical abilities and accuracy with numbers is essential.

    ·         Professional and courteous telephone manner essential.

    ·         Flexibility and willingness to work until the job is complete.

    ·         Computer experience, including the ability to email reports, upload and download pictures and information, take online trainings as required.        

    ·         Proficient in Microsoft Office Programs such as: Outlook, Teams, Project, Word, Excel, etc.

    ·         QuickBooks

    ·         Procore

    ·         Bluebeam / REVU

    COMPENSATION:          Compensation will be commensurate with experience.
