    The Josselyn Center team is growing as we expand our Community Mental Health Centers in Northfield, IL and Waukegan, IL! We are seeking an experienced PART-TIME RECEPTIONIST to join our Waukegan team!

    We are working to bring quality, comprehensive mental health care to as many people as possible, especially those traditionally underserved.

    Essential Duties and Responsibilities for the RECEPTIONIST Position:

    • Greet all clients and visitors in a respectful and welcoming manner
    • Uphold HIPAA privacy standards for client data
    • Check in clients to include obtaining client's name, locating client service ticket (adding any appointment not already in CIS and having a Billing Specialist review balance if necessary)
    • Scan ID and Insurance Cards
    • Check to make sure all clients have filled out all necessary paperwork and appropriate signatures are on file
    • Follow up on client paperwork via DocuSign as needed
    • Collect client payments to include informing client of the current balance and other outstanding issues as detailed in CIS, accepting the cash, check or credit card information (verifying a client completed credit card form if applicable) and issuing a receipt for any cash or credit card payments
    • Notify clinician of clients' arrival via CIS
    • Field client billing questions using information provided by CIS and identify questions that require additional assistance from the billing department
    • Maintain the Client Payment Log to include making an entry to the Client Payment Log for each client checked in at the front desk. Balance Client Payment Log against actual payment at the end of the work day
    • Process daily credit card activity
    • Answer the telephone to include timeliness, politeness, clarity and an understanding of how the telephone system operates. Also included is the accurate navigation of all calls
    • Make sure all messages are forwarded to the necessary individual
    • Develop an understanding of the various services provided by Josselyn to field general inquiries
    • Cancel appointments for out of office clinical staff as needed
    • Notify site manager of low stock on office supplies or additional requests for ordering
    • Completing mailings, general and special to include the timely stuffing, labeling, and mailing
    • Facilitate prescription pick up as required
    • Process daily incoming mail including scans of checks and corresponding back up documentation for Finance
    • Drop off daily outgoing mail including sending out letters for clients as requested by clinical staff
    • Maintain organization and cleanliness of the waiting room
    • Set up remote appointments for on site clients with remote staff as needed
    • Open and securely close the buildings at end of day
    • Assist with coordination of the Walk in Intake process
    • Provide translation as requested
    • Timely completion of all projects as assigned by supervisor
