Job Title: Junior Administrative Assistant Location: Santa Rosa, CA THIS IS NOT A REMOTE POSITION Pay Rate: $27/hour Job Type: Part-Time (Potential to become Full-Time based on performance)

Position Overview: We are seeking a reliable and professional Junior Administrative Assistant to support our office operations. This role is essential in maintaining smooth communication, organization, and administrative efficiency within our agency, and will report directly to the Senior Administrative Assistant. The Junior Administrative Assistant position may involve field work (e.g., conducting house visits) but will primarily be in a small office environment.
Key Responsibilities:
Provide general administrative support including filing, data entry, and document preparation.
Answer office phone calls, messages, emails, and other communications.
Assist with scheduling meetings and maintaining calendars.
Support administration with miscellaneous clerical and office tasks as assigned.
Maintain confidentiality and handle sensitive information with care.
Perform light housekeeping duties of workspaces and common areas to maintain office cleanliness.
Update staff records and client files.
Attend assistant and director meetings and take/transcribe & properly file detailed notes.
Assist with the hiring and onboarding process, including candidate outreach, onboarding document review, and company account setup.
Perform other office and related duties as assigned.
If qualified and trained, the Junior Administrative Assistant may be asked to provide emergency coverage of caregiver shifts with select clients.

Qualifications:
ASSOCIATE DEGREE OR HIGHER + able to provide proof of education
CLEAN DMV RECORD, VALID LICENSE, & INSURED PERSONAL VEHICLE which can be used during shifts.
Ability to pass a DOJ/FBI and state-level background check.
Negative TB test, or willingness to obtain.
CPR/First Aid certification, or willingness to obtain.
Proficiency in Microsoft Office programs (Word, Excel) and Mac OS.
Minimum typing speed of 50 WPM, as demonstrated by a typing test.
Strong organizational and time/information management skills.
Excellent verbal and written communication skills.
Ability to work both independently and as part of a team.
Schedule: Monday to Friday 9AM-1PM / 20 hours per week, with potential to become full-time Monday to Friday 9AM-5PM.
