    A DAY IN THE LIFE OF OUR OFFICE MANAGER / EXECUTIVE ASSISTANT

    Our Executive Assistant/Office Manager will amplify the effectiveness of our executives, human resources, and is responsible for many facets of the organization.  Management of both the San Jose and Portland offices, ensuring both are inviting and operating efficiently.  Day to day you will be working closely with the founders to ensure their schedules are maintained and communication is flowing smoothly. Organization and project management are essential.

Problem solving and Being proactive are big attributes this position requests for.

    Office Management Objectives

      • Help foster an amazing work environment 
        • Ensure calls to main number are answered during business hours
        • Manage and maintain organized office layout
        • Identify opportunities for improvements across both offices
        • Manage office vendors and service providers
        • Liaise with property management
        • Work with HR for employee onboarding/offboarding
        • Plan in-house or off-site activities such as happy hours, company sponsored charity events or conferences

    Executive Support Objectives

      • Support company founders with broad variety of taste
        • Managing of calendar appointments
        • Expense reports
        • Email correspondence
        • Travel plans
        • Research (eg Insurance plans comparisons)
        • Prioritization of incoming requests

    HR Assistant Objectives

      • Help with onboarding & new employee orientation
        • Assist with internal and external HR related inquiries or request
        • Assist with maintenance for both hard and digital copies of personnel files
        • Coordinate training sessions and seminars
        • Assist with other adhoc projects

    Qualification and Skills

      • 3-5 years experience supporting Executives
        • 1 to 2 years of HR assistance experience
        • Experience in managing complex calendars
        • HR software experience (Gusto, ADP, and/or Bamboo)
        • Proficient in G-suite, Adobe
        • Bachelors degree preferred not required
