    Job Description

    POSITION OVERVIEW:

    The Manager of Culture and Operations is responsible for overseeing the administrative and logistical processes related to KIPP DC’s headquarters operations and culture strategy. The Manager of Culture and Operations will be particularly focused on regional office operations, hospitality and partner team event planning. The nature of the manager role is such that priorities will shift as needed between business processes to maintain operational effectiveness and project management to support the coordination and execution of KIPP DC’s events portfolio. The manager is specifically responsible for priorities surrounding headquarters operations, culture, and events.

    The ideal candidate is a service-minded, results-oriented, self-starter with the ability to cultivate and maintain strong relationships. Knowledge of operational and customer service best practices paired with exceptional project management skills are a must. Additionally, possessing the capacity to effectively balance critical thinking, execution, and professionalism in a fast-paced environment is critical for success in this role. 

    The Manager of Culture and Operations is an exempt position and will report to the Director of Culture and Operations. This position will also directly supervise two staff members that support headquarters operations. 

     

    KEY RESPONSIBILITIES:

    REGIONAL CULTURE & OPERATIONS STRATEGY AND EXECUTION (15%) 

    • Contribute to the coordination and execution of community-building initiatives at headquarters to create a sense of community, retain highest performing staff, and bolster the effectiveness of headquarters support of schools.

    • Support onboarding programming for headquarters team members to transition new staff to the regional team.

    • Serve as the HDQ Office representative in COVID non-academic working group meetings.

    • Support the programming calendar to schedule office events such as Lunch & Learns, monthly community-building activities, social impact initiatives, and headquarters staff convenings.  

    • Determine and implement best practices in customer service and hospitality to drive the effectiveness and flow of the HDQ office space.

     

     

    CULTURE AND OPERATIONS TEAM MANAGEMENT AND BUSINESS PROCESSES (45%)

    • Lead the range of financial and business processes that streamline office-use and function. 

    • Oversee HDQ facility maintenance and improvement projects and serves as the external partner point of contact for multiple stakeholders.

    • Manage the HDQ operations budget including but not limited to utility payments, parking, office supplies, and Amazon purchases.

    • Support efforts to reimagine the function and space utilization of the HDQ office space.

    • Maintain accurate and up-to-date records, budgets, and inventory data to track operational effectiveness.

    • Maintain operational systems to manage complex projects and report progress across the culture and operations team and to key stakeholders.

    • Oversee the system used to document interactions with families and the general public to track comments, complaints, and concerns to drive marketing and communications strategy. 

    • Supervise two headquarters staff on the culture and operations team including providing coaching, team member support, and professional development.

    • Participate in KIPP DC headquarters and external affairs-related activities, including staff meetings, professional development conferences and retreats, fundraising events, and other public relations opportunities.

     

     

    PARTNER TEAM & FLAGSHIP SCHOOLS EVENT STRATEGY, PROJECT MANAGEMENT, & EXECUTION (40%)

    • Lead the event planning and execution of short-term partner projects with teams including but not limited to: Community Engagement, KIPP Forward, and School-Based. 

    • Support the execution of signature KIPP DC staff events within the All-Staff Events portfolio and professional development series.  

    • In partnership with various team leaders, establish a clear event vision and objectives tailored for unique audiences and event types.

    • Create and execute strong project plans to divide responsibilities, establish clear decision-making and feedback loops, produce marketing collateral and other event deliverables and lead regular check-ins with partner teams to ensure project progress. 

    • Serve as a project manager when collaborating with the communications & marketing team to produce effective printed materials, merchandise, videos, photos, emails, and social media to promote specific events.

    • Conduct excellent coordination, interactions and communications (phone calls, emails, meetings, etc.) with all internal and external stakeholders (vendors, partner teams, principals, decision-makers, etc.).

    • Manage and execute event logistics including venue communication, set-up, breakdown, volunteer coordination, production, catering and all on-site elements.

    REQUIREMENTS:

    • Bachelor’s degree required

    • Three to five years of relevant planning, project management, hospitality or similar experience required

    • Strong cultural competency and empathy skills, including ability to communicate, work effectively, and cultivate relationships with a diverse set of stakeholders

    • Service-minded with an ability to maintain a positive, helpful, and professional attitude toward staff, families, and the general public at all times

    • Commitment to advancing KIPP DC’s anti-racist ambition and fostering an equity-driven culture through their work with staff, students, alumni, and families

    • Comfortable managing multiple stakeholders and projects with the ability to identify and elevate key priorities

    • Experience with managing feedback loops and stakeholder engagement required

    • Willingness to travel between our eight campuses and attend occasional weekend and evening events at our schools and external venues
