    Job Description

    _ About the Opportunity_

    The Onboarding and Performance Manager at KTX is responsible for the design and execution of a joyful, efficient, and world-class Onboarding experience for all new KIPP staff that leads to early success in their role, and integration into KIPP culture and community. This will be achieved by coordinating New-to-KIPP orientations across each region year-round, improving our new hire practices by creating training and template tools for managers to use for each of the employee types they manage, creating new “KIPPsters” communities for new staff to engage in, leveraging business partnerships to create comprehensive position-specific onboarding tools for each new member to have the materials and tools they need to do their job at KTX.

    This Onboarding and Performance Manager at KTX is also responsible for managing our performance evaluation program for non-teaching staff throughout all three different stages, at KTX we call it PEP (Performance Engagement Process). This will be achieved by having strong partnerships to design, manage and, track the progress completion of PEP tasks, improving the usage and efficiency of our performance management system called Cornerstone (in partnership with system admin.), create manager and employee tools to have meaningful, and impactful conversations during the PEP cycle and beyond.

    This role will coordinate and facilitate cross-collaboration committee meetings with key stakeholders and business partners to roll out both KTX Onboarding and Performance Management throughout the year with improved measures of success.

    _ Duties and Essential Job Functions:_

    The Manager will:

    Design and coordinate New-to-KIPP Orientations district-wide for all new staff, with the biggest event hosted each Summer before the school year begins ** (intended outcome of above 90% attendance with 85% satisfaction)**

    • Project manage all New-to-KIPP orientations by each region in coordination with regional liaisons and facilitators
    • Coordinate space reservation for each event based on forecasted new staff groups (summer event needs 8-10 weeks in advance)
    • Build a budget plan for New-to-KIPP Orientation to keep a budget-friendly event with a consistent experience throughout each region
    • Partner with Sr Dir of Culture & Performance Engagement to design a strong culture-aligned orientation program
    • Schedule rehearsals for each orientation event’s facilitators at least 3-4 weeks in advance of the event
    • Develop a working knowledge of our Learning Management Cycle (and our other Event Manager Tools) to track reservations, attendance and certificates of completion
    • Coordinate, budget, and plan all KIPP-related resources, materials and/or swag needed for successful Day 1 of work for all staff

    Oversee KTX new hire process to ensure more than 95% of New-to-KIPP staff have the materials they need by Day 1 of work (ideally orientation), in partnership with central office department leaders.

    • Coordinate the Staffing Logistic Committee Meetings during the Summer season to ensure readiness during Beginning of Year (BOY)
    • Partner with department stakeholders for key system/program milestones that must occur to ensure new hire success (Ex. critical milestones to have training dates sent to new hires X days before training day)
    • Partner with Talent Data Analyst to create/enhance KTX Staffing Logistics tracker to provide visibility at a state-wide or regional-level on the progress of new hire readiness pre-day 1
    • Review and improve communication practices/templates used throughout the new hire experience
    • Create Onboarding tools/resources for managers to use as New-to-KIPP Staff during BOY vs Mid-Year season
    • Develop a working knowledge of the Applicant Tracking Systems-ATS (SmartRecruiters), HR/Payroll System (ADP), IT (ZenDesk, Active Directory) to provide support and troubleshoot gaps in processes, as needed.

    Manage the design of a comprehensive Onboarding experience that will improve retention of our New-to-KIPP Staff within their first year at KIPP Texas and their role

    • Partner with Sr Dir of Culture & Performance Engagement to design a multi-year plan that will re-design the KTX Onboarding experience to improve retention and engagement
    • Project manage the multi-year plan with initiatives such as new hire communities, manager-training programs for new to KIPP managers, identification of onboarding metrics of success and Onboarding satisfaction indicators.

    Manage our non-Teacher Performance Engagement Program (called PEP) to ensure 95% of staff are placed on development and evaluation frameworks with all components

    • Coordinate the PEP Committee Working Group year-round to ensure deadlines are met and progress monitoring is tracked (during active windows)
    • Project manage the implementation of new practices and strategic improvements needed
    • Manage a group of stakeholders or stakeholder groups for PEP Task completion and quality of conversation aligns with rubrics set by PEP Committee
    • Review and improve communication practices/templates used throughout the performance management cycle and in collaboration to the teacher-evaluation program (TCP)
    • Create PEP tools/resources for managers to use for managers and staff on all 3 cycles of PEP and in collaboration to the teacher-evaluation program (TCP)
    • Support SR Director of Culture & Engagement to re-design/design competency frameworks applicable for all staff in partnership with critical stakeholders including KIPP Foundation’s support
    • Project manage the evolution of PEP to be a multilingual system and program to tailor the needs of our non-fluent english speaking staff
    • Develop a working knowledge of the Performance Management System (Cornerstone) to provide support and troubleshoot gaps in system usage in partnership with System Administrator
    • Develop a working knowledge of the HR/Payroll System (ADP) to provide user audit support in partnership with Cornerstone System Administrator as it relates to competency assignments, task group assignments, etc.
    • Collaborate support with the Teacher Career Pathways program managers as needed.

    • Bachelor’s Degree

    _ Preferred Education and/or Experience:_

    • 3+ years managing Talent Management practices, Performance Evaluation or Onboarding programs
    • Experience in schools or education preferred

    _ Physical Requirements:_

    This role requires sitting at a computer for up to 8 hours at time.

    _ Work Environment:_

    • Hybrid - Work from a regional office at least 3 times a week.

    _ Travel Requirements:_

    • This role may travel up to 2 times a month as needed for regional orientation coordination and cross-collaboration meetings
