    SHARED SERVICES DUTIES

    • Supports staffing of the front office and kitchen teams
    • Serve as point of contact for all campus transportation issues
    • Create strategic approach for arrival and dismissal.
    • Create professional development trainings
    • Must be comfortable training teachers and staff
    • Responsible for securing emergency services (fire, police, EMS) in an emergency
    • Maintain all Emergency and Evacuation plans; ensure that they are current and in compliance
    • Serve as first contact with visitors, parents, etc…(phone, email, in person)
    • Answer incoming phone calls and greet visitors
    • Manage parent requests for homework when child is absent, early parent pick up
    • Manage late arrivals and contact administration when necessary
    • Maintain teacher supplies and workroom and ensure all inventory is kept in stock
    • Contact office equipment vendors when necessary
    • Manage and receive correspondence
    • Compose and prepare all notifications and memos for families, students, and teachers based on school leader preferences in both languages
    • Handle and maintain accurate records of petty cash
    • Maintain absence,  tardy and early pick up log
    • Process and order all purchase orders
    • Maintain documentation of all receipts and order forms
    • Maintain KIPP DFW Calendar (electronic and paper)
    • Serve as food service representative (point person)
    • File and maintain copies of all progress reports
    • Accounting responsibilities (entries, coding, receipt handling, etc.)
    • Assist with current student and parent events that may involve planning and executing events. Some hours may involve after work hours or on the weekends.
    • Assist with planning, execution and attend internal or external events for the purpose of recruitment of new to KIPP families. Some hours may involve after work hours or on the weekends. You must be flexible to work during the evenings and weekends.
    • Perform other duties assigned to them by their manager.
    • Campus testing coordinator of all logistics for testing for K-8.
      • Conduct securities and logistics training
      • Quality control check testing materials
      • Purchase/coordinate all testing materials with support from Assistant Principal of Instruction
      • Create testing sessions
      • Attend all district and regional testing trainings
      • Prepare technology for testing
      • Other testing duties assigned by the regional testing coordinator or Campus Operations Manager

    PEIMS/ATTENDANCE DUTIES:

    • Manage Front Office Assistant—compose yearly performance evaluations and design/facilitate professional development or certification opportunities
    • Maintain and update parent contact information in student folders and in Student Information System.
    • Create and track attendance incentives in order to meet attendance goals. Tracks truancy.
    • Manage student permanent records and forms (doctors notes, personal information, lunch forms, field lesson permission slips, enrollment and reenrollment)
      • Process and manage all new and existing student information in the information management system.
    • Process all new student information
    • Interact with parents and visitors and serve as ambassador of the school at all times
    • Serve as System Information coordinator and point person for support
    • Serve as attendance (records) clerk
    • Input discipline data
    • Collaborate with campus staff (SOM, COM, special populations coordinators) to collect, organize and format data required to submit district PEIMS data in a timely manner
      • Work in conjunction with Campus Operations Manager to collect all relevant data from school staff (e.g. ESL Coordinator/LPAC)
    • Meet all deadlines set by the Campus Operations Manager or Assistant Principal of Operations
    • Process student withdrawals and registration
    • Store grades into the information management system.
    • Print, file, distribute and maintain copies of all progress reports and report cards.
    • Assist with building student schedules and scheduling students in the information management system.
    • Interface with special populations coordinators to ensure all special populations are identified and coded in the SIS system.
    • Prepare and submit complete PEIMS student data reports or FSP reports. 
    • Expedite all Inbound and outbound record transfers and requests (Trex)

    SUPERVISORY RESPONSIBILITIES

    May have 1-2 direct reports. Must have 1-2 years of supervisor/management experience.

    Qualifications

    • Bilingual (Spanish), required. 
    • Experience working in education preferred.
    • Bachelor's degree required.
    • Possess strong interpersonal and customer service skills.
    • Interest in working with students and parents in urban school setting required.
    • Demonstrated ability to perform several tasks concurrently with ease and professionalism.
    • Outstanding organizational skills and high attention to detail.
    • Ability to operate computer and other general office equipment; MS Office skills preferred
    • Ability to communicate clearly and concisely, verbally and in writing.
    • Must be able to keep student matters strictly confidential.
    • Demonstrated ability to work in a fast-paced, high energy environment with a proven ability to meet and complete multiple deadlines and tasks.
    • A sense of humor.
    • Unquestioned commitment to KIPP DFW’s mission and values.
    • One to two years work experience with either non-profit or education organization preferred.
