    Job Description

    The Operations Associate assists in scheduling the 70+ person newsroom, the 12+ person on-air and announcer staff, the 28+ person engineering staff, and external clients.  The position works cross-departmentally, and across various platforms, including TV, radio, podcast, and live events. The Associate also provides administrative and financial assistance to the department of Content.

    The position requires someone who is an excellent communicator and is extremely detail oriented. It is essential that this position work proactively and takes a holistic approach to supporting the departments, and is able to keep calm and react quickly and think critically in a fast-paced environment. The Associate will be expected to handle confidential data securely and with discretion. This position is ideal for someone who is genuinely interested in the “behind-the-scenes” work involved with supporting various means of production and content creation, and is eager to learn and grow in the field of production operations and finance.

     

    ESSENTIAL FUNCTIONS:

    • Assist in planning, publishing and maintaining daily and weekly assignments and shifts, including holidays and vacation leave. Help insure information is up-to-date and accurate.  Maintain meticulous schedules and shifts to support the departments, our clients and represented staff. Communicate with employees to determine availability.  Message potential conflicts and/or staff shortages in a timely manner for prompt resolution. Ensure that employees with the proper skill levels and training are assigned to the appropriate project. 
    • Create purchase orders and process invoices in a timely and detailed manner.  Include all required documentation for Accounts Payable.  Understands the finance closing calendar and corresponding monthly due dates. Perform corporate credit card reconciliations on a monthly basis, ensuring proper PO’s are created, coding is correct, and required backup is included. 
    • Understand scheduling needs as they apply to labor and projects ensuring that scheduling is done efficiently with an emphasis on controlling costs. Inform the Director or Finance and Operations when there are potential costs over runs due to OT, weekend work, etc.
    • Create and review schedules, shifts and work orders utilizing key scheduling tools such as ScheduAll, SnapSchedule 365, Outlook, and Dayforce HCM and demonstrate a willingness and ability to adapt and learn new systems as appropriate.
    • Perform clerical tasks for the Finance and Operations team as assigned, including scheduling meetings for internal and external groups, taking meeting minutes, and performing data entry tasks. 
    • Review timesheets for represented staff or other departments as assigned.

    KNOWLEDGE/EXPERIENCE REQUIRED:

    • Understand how to apply work place policies, labor union, jurisdictional demands and best business practices to scheduling procedures
    • Familiarity with Excel, Outlook, and G Suite 
    • Excellent communication and listening skills
    • Must be detailed oriented and a creative problem solver

    KNOWLEDGE/EXPERIENCE DESIRED

    • Knowledge of scheduling software programs, including ScheduALL, SnapSchedule and Dayforce
    • Knowledge of TV or Radio broadcast operations
    • Bachelor’s degree, or demonstrated administrative or scheduling experience
    • Demonstrated understanding of broadcast production assets and equipment
    • Demonstrated understanding of basic TV and Radio Broadcast terminology
    • Operates with a sense of urgency
