PRINCIPAL RESPONSIBILITIES
- Daily supervision and coordination of the Front of House and Office Services teams including project assignment, task prioritization, and coverage. Supervise the team's performance in conjunction with the owner.
- Supervise staff
- Act as the primary contact for outside vendors for the purpose of office visits, issue resolution, and maintenance, and ensure they are meeting expected service levels.
- Assist with the on-boarding process, new hire orientation, and departure process for staff.
- Receive, review, code, and approve all invoices for office related supplies, maintenance performed by outside vendors, and building engineers. Maintain a digital file of all invoices processed for payment.
- Coordinate with the Controller/Financial Manager to process daily checks; manage petty cash on site.
- Meticulously schedule appointments with diligence and accuracy.
- Clerical duties (phone calls, scanning documents, filling documents, checking and sending email and mail, etc.)
- Payroll (ADP/Paychex)
- Customer Service/Data Entry
- Accounts Receivable/Accounts Payable (Quickbooks preferred)
- Expense Reporting
- Other responsibilities and projects as assigned.
REQUIRED EXPERIENCE AND SKILLS
- Proficiency in Quickbooks, Microsoft Office Suite, including Word, Excel, and Powerpoint
- Previous experience with Payroll service, Quickbooks, Dropbox, POS systems
- Great time management and multi-tasking skills
- Ability to act independently and with minimal supervision
- Must be organized, detail-oriented and a self-starter
- Excellent organizational and time management skills
- Problem solving skills and ability to multi-task
- Compassionate with teamwork skills
- Able to use discretion and exercise independent and sound judgment.
- Able to take initiative in handling projects and anticipating what needs to be done.
