    THE POSITION OVERVIEW

    The Assistant's main function is to provide high-level support to the Team & CEO, Danielle Hayden. The goal of the Assistant is to own and lead administrative & bookkeeping tasks, both business-related and personal, enabling her to focus on leading the team.

    In short, your role is to continually find ways to save Danielle time by coordinating her calendar, communicating with clients, team members, internal bookkeeping, and reporting and executing an administrative work plan that will include personal tasks.

    THE OPPORTUNITY

    This role is primarily a remote position; however, you will be required to work at a coworking workspace weekly at set days/times for specific tasks.

    • You are a master of the calendar, calendar tools, love to organize including digital files, and can type 45 wpm.
    • You are open to giving and getting feedback designed to improve the situation, team culture, and overall effectiveness by immediately taking ownership and action.
    • You are willing to lean into the role, even the not-so-glamorous bits such as shipping, shopping, research, and making personal & vehicle care appointments.
    • Trustworthy and can be counted upon to safeguard the confidentiality of not only the Kickstart Accounting, Inc. brand but of our clients and family members as well

    ROLE

    • Day to day bookkeeping for Kickstart Accounting, Inc.
    • Billing and collections for Kickstart Accounting, Inc.
    • Update various management reports
    • Support sales staff, send follow ups, manage notes, update system, follow on social media, etc.
    • Manage/organize Danielle's calendar using Calendly to maximize her efficiency.
    • Download a Zoom video recording and load up into our software content library
    • Book travel for Danielle and the team.
    • Coordinate with operations lead to ensure all tasks are completed
    • Provide attention to detail as you prepare documents and various correspondence eliminating rework by maintaining our standards of design
    • Communicate with clients using various tools, platforms, and frequencies relying on your intrinsic “I'm here to help you” tone and attitude.
    • Complete various administrative tasks taking the ownership to execute and produce high-quality documents, graphics, repurpose podcast content, execute client gift projects, book client calls, staying organized and ahead on tasks using our project management and work plan tools
    • Seek to continually improve upon our system automation for client intake, onboarding care, and ongoing client support.
