    Position Summary:
    We have an exciting opportunity to join our team as a Executive Assistant.

    In this role, the successful candidate is responsible for providing comprehensive support to SVP of LOH Hospital Operations & the Musculoskeletal Strategic Area. Manages daily activities of office functions as liaison to other departments. Deals with confidential information and high level positions on a regular basis. Works under general direction

    Job Responsibilities:

    * Performs other duties as assigned.
    * Demonstrates knowledge of the organizations Service Standards and incorporates them into performance of duties.
    * Administrative Support - Provides support services to SVP of Hospital Operations in order to facilitate efficient operation of office. Maintains calendars for both SVP and Administrator for Hospital Operations. Efficiently schedules meetings, conferences, makes all travel arrangements, schedules conference rooms for all hospital personnel as required, updates and maintains filing system, handles departmental time sheets, opens and distributes incoming mail, handles confidential matters with appropriate urgency and discretion, prepares all materials in professional manner through efficient use of staff and technology.
    * Communication/Public Contact - Acts as first point of contact for meeting and greeting personnel (both internal and external). Answers telephones for SVP and other department managers as required; takes messages or field/answer all routine and non-routine questions. Works in cooperation with other Assistants within the department to cover all phones.
    * Liaison - Functions as liaison for all interactions between SVP and rest of organization by providing flexible, efficient and timely responses to the needs of the departments, faculty and staff. Works effectively and interacts independently with internal and external sources to solve problems. Responds in a timely, discrete and confidential manner to all requests concerning sensitive issues.
    * Office Management - Ensures adequate support for office at all times. Establishes and oversees a well-organized functional system of record-keeping. Maintains and regularly updates the office Policy and Procedure Manual. Makes recommendation for SVP for needed office equipment.
    * Vendor Management - Interacts with vendors and suppliers concerning billing, pricing and related discrepancies. Keeps track of office and annual equipment maintenance orders. Checks vendor bills against departmental records and processes them in a timely manner. Investigates discrepancies and resolves issues with the vendor concerning billing and pricing issues. Reviews bill against purchase order or agreement in order to verify its accuracy.
    * Training and Orientation - Orients new staff members. Instructs staff clearly in organization and procedures. Assists with orienting staff thoroughly to workplace (i.e. equipment, location of supplies, etc.) and to other personnel with whom they must relate.
    

    Minimum Qualifications:
    Bachelor's Degree plus five (5) years of progressive responsible office management or an equivalent combination of education and experience. Proficient in Microsoft Office, Word, Excel and PowerPoint. Effective oral and written communication and interpersonal skills required

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $93,704.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.

  • Qualifications
    • Have at least one year of experience in an institutional setting (home health agency, hospital, hospice, or long-term care facility). This experience shall be verified by a previous employer;
    • Have a certificate issued by the State of Arkansas for working in long-term care facilities. A copy of this certificate shall be available for review; or
    • Have completed a 40 hour aide training course that meets requirements set forth in these
    • In lieu of the requirement for completion of the home health aide training course, a nursing student may qualify as a home health aide by submitting documentation from the Director of programs and/or the Dean of a School of Nursing that states that the nursing student has demonstrated competency in providing basic nursing care in accordance with the school’s curriculum.
