    Position Summary:

    We have an exciting opportunity to join our team as a Associate Director - Research Administration.

    Reporting to the Director of Research Administration Pod, the Associate Director oversees day-to-day operations for the research administration operation of the assigned departments within the Pod; with the goal of growing the departments research portfolio and maintaining the highest level of customer satisfaction and research compliance. This includes, but is not limited to strategic planning for the standardization of pre and post award administration, including standard operating procedures, guidelines and training to align with both departmental, institutional and sponsor policy and regulations.

    Job Responsibilities:

    POD Operations

    1. Oversees team of grants managers and grants specialists to manage pre-award and post-award volume; navigating all aspects of the submission process for grant applications, progress reports, Just-In-Time requests (JIT) and requests for prior approval. Ensures that all requests are submitted and processed in a timely and effective way.

    2. Reviews all grant submissions, progress reports, JITs, etc. submitted by Department faculty for compliance and accuracy and ensures corrections are made prior to obtaining Departmental and Institutional approvals.

    3. In collaboration with Director of Research Administration, as well as departmental Finance and administrative leads to review faculty effort for federal time and effort/payroll verification purposes during progress report review.

    4. Maintains and communicates schedule of funding cycles, upcoming submissions and progress reports, and internal administrative deadlines. Ensure that administrative staff and faculty are aware of and comply with applicable deadlines.

    5. Regularly reviews and analyzes grants-related reports at the department level provided by SPA including number and type of submissions, awards and success rates especially related to large collaborative grants.

    6. Works closely with Department Directors and PIs to assess future directions and immediate concerns.

    7. Responsible for staying abreast of NIH and other research funding opportunities. Ensure that routine meetings with investigators regarding grant finance, research studies progress, etc occur regularly and with appropriate frequency to ensure that performance and financial benchmarks are met. Work with the Department Leadership to develop new strategic teams, ensuring that meeting participants are identified, agendas prepared, meeting minutes with clear action items written and distributed and the team are moving forward on point.

    8. Support the faculty recruitment and program development processes across the departments including development of research sections of financial plans and transfer of grants to NYULMC.

    9. Support strategic planning process throughout the department, focuses on research including, identifying and implementing methodology for tracking and process improvement related to grants administration. Work closely with department

    Responsibilities – Research Administration – Training and Education

    1. Develop and maintain training materials for research administration staff across all academic
      departments and institutes

    2. Identify gaps in departmental and institutional services and systems that can be improved to provide more efficient and standard support throughout the institution

    3. Create standard templates, operating processes and forms to achieve maximum efficiency across the grant life cycle and implement across all departments/institutes

    4. Collaborate with department/institute research administrative teams, to develop standards for
      best practices and work to implement accordingly

    5. Responsible for dissemination of all training materials, templates and tools for research
      administration, track effectiveness, and adapt as needed.

    6. Responsible for initial training of existing research administrative staff as well as on-going
      training for new and existing staff

    7. Serve as resource for all departments and institutes for ad hoc training needs based on unique
      aspects of research programs, changes in broader research environment and driven by key
      funding agencies

    8. Facilitate relationships with research administrative staff to build teamwork, cross training and expand exposure and training for team members

    Additional Job Responsibilities

    1. Fosters strong collaborative relationships throughout the institution, especially with central
      offices in Research Administration, including but not limited to SPA, RDI, CRSU and RFO.

    2. Works with institutional peers to improve collaboration and operational efficiency.

    Minimum Qualifications:

    To qualify you must have a Masters Degree in Health Care, Public Health or Business Administration. Minimum of three years of management level responsibility in business administration for a health care organization or other similar industry is required. Thorough knowledge of pre- and post-award grants administration; Deep understanding of federal, state and local policies governing sponsored research; Demonstrated ability to manage complex projects, often with matrix management responsibilities. Proficiency in managing complex, multi-source budgets; familiarity with grants and government contracts. Excellent interpersonal and written/oral communications skills required along with tact and diplomacy.

    NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $117,107.95 - $162,225.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
