    HOW YOUR ROLE FITS INTO BOLDT: The Senior Administrative Assistant will provide administrative support and related services crafted to improve operating efficiency. This position will provide support to members of the management team as well as perform office management and administrative duties for the office.

    WHAT YOU GET TO DO:

    • Provide administrative support to the members of management, including coordination of meetings, travel, expense reports, credit card bills and reconciliation.  Develop internal and external communication materials in coordination with and on behalf of the management, including but not limited to presentations, correspondence, and meeting minutes.
    • Perform basic administrative tasks such as copying, filing, and mailing as requested by management team.
    • Perform office management duties including oversight of building needs, liaison with building management company, inventory and purchasing of breakroom and office supplies, and coordination of repairs and maintenance needs.
    • Communicate and coordinate office safety policies and protocols.
    • Assist in coordination of event planning, including facilitation of location-wide communications, catering, hotel reservations, etc.
    • Coordinate the corporate mailing program as well as act as primary liaison between the company and mail/packaging vendors. Manage incoming and outgoing mail and deliveries.
    • Prepare & reconcile vendor invoices, resolve accounting discrepancies for basic office monthly invoices.
    • Ensure meeting rooms are set-up with accurate equipment, materials, and supplies. Order and set-up food and beverages. Test and assist with technology required for meetings. Clean up after meetings.
    • Greet visitors with a friendly and effective manner. Use telephone, email, and other forms of communication to ensure every customer is treated in a consistent, courteous, and professional manner.
    • Assist employees with registering for corporate events.
    • Act as New Hire Liaison for employee onboarding.
    • Perform special projects as assigned. This may include projects for human resources, finance, estimating or the president’s office.

    Required Skills

    WHAT WE EXPECT FROM YOU:

    • Two-year degree or equivalent required.
    • At least four years of administrative experience required.
    • Intermediate Microsoft O365 knowledge required.
    • Excellent communication skills.

    PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

    While performing the duties of this job, the employee is frequently required to remain in a stationary position for up to eight hours. The employee occasionally is required to move to access people or workspaces. Constantly operates a computer and other office equipment, such as a calculator, copy machine and computer printer. The ability to effectively communicate is required. The employee may occasionally move up to 15 pounds.

    The working conditions of this position requires the employee to work inside an office environment. The environment for which this position functions may contain scents and fragrances. May be requested to work overtime and weekends.
