Our busy legal firm is looking for an efficient, organized legal assistant to help our attorneys and paralegals assist our clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents, and handle all office correspondence including answering phone calls and emails, arranging meetings and travel, and reminding the team of upcoming deadlines. Responsibilities: • Interact with clients, counsel, mediators, clerks, courts, experts, and other parties and build professional and cordial relationships with them by phone, email, and in person. • Interact with the courts and administrative agencies regarding hearings, motions, and other appearances, and be the courts’ primary point of contact with the firm for all administrative and scheduling issues as they pertain to the family law practice area. • Maintain calendars for the family law practice area: schedule appointments, post tasks, and deadlines, and ensure the Firm and team’s calendars are accurately maintained and organized in a logical and efficient manner. Acknowledge any scheduling conflicts and bring them to the attorney’s attention and resolve them. • Contact family law clients in advance of the event to remind them of events they are to attend. Ensure they have details on how to attend the event (links for video conferencing, phone numbers for calls, directions/location for in-person events, etc.) • Ensure that the attorney has all of the relevant materials ready when the attorney has meetings or court appearances. • Maintain and update case management system: enter data in matter details for cases assigned to you, save documents received from client to system and share with the attorney, organize files, apply workflows, enter deadlines, document happenings in memos, log emails to case matters, log voicemails to case matters, and create tasks for all cases assigned to you. • Review incoming mail and double-check that events/tasks are properly entered into the case management system. • Manage and monitor case progress, deadlines, and important timeframes/milestones. • Answer incoming calls and triage according to the firm’s policy. Ensure that calls and messages taken are logged in the firm’s case management system according to the firm’s policy. • Prepare and send legal documents and correspondence as directed by attorneys (such as civil case information statements, vital statistic forms, BCSE forms, petitions, answers to petitions, counterclaims, answers to counterclaims, motions for temporary relief, motions to continue, other basic motions, notices, simple orders, exhibit lists, witness lists, subpoenas and any other documents requested by the attorney. • Assist with proofreading and finalizing documents. • Process of outgoing mail for family law attorneys and paralegals. • Request, track obtain, and organize evidence for family case matters. • Make copies/scans of documents and prepare binders as needed upon request. • Conduct monthly meetings with attorneys on cases and obtain the brief status of cases, then timely communicate case status to clients to provide clients an update on a monthly basis. • Attend case status meetings, trial prep meetings, and any other meetings requested by the attorney. • Enter time and billing data on a daily basis for work completed. • All other tasks as assigned by attorneys and paralegals. • Serves as backup to the receptionist and assists with answering incoming phone calls as needed. • Meet all court-ordered deadlines. Qualifications: • A Legal Assistant should have a high school diploma, but advanced training at a college or university is preferred. • A Legal Assistant should have prior experience in a law firm. Legal Secretarial experience is preferred, but in some cases, experience as a file clerk, receptionist, or office assistant will suffice. • Proficient with MS Office products. • Organizational skills and communication skills are necessary for this position. Compensation: $27,000 - $35,000 yearly
