    Job Description

    Klinedinst’s largest office, located in the heart of downtown San Diego, is looking for a new CLIENT SERVICE RECEPTIONIST. We are not just looking for someone who can handle our phone lines; we are interested in bringing on someone who can represent our team and become the voice of Klinedinst PC.     We appreciate the fact that the Client Service Receptionist is the first point of contact for our clients, and plays a vital role in creating a great impression. Applicants for the Client Service Receptionist must be able to demonstrate proficiency with multiple line telephone systems, project a professional image, and have working knowledge of Windows and standard office equipment. Most importantly, we are looking for someone who wants to build and grow in this position, and truly enjoy their role in connecting individuals with one another.

    The following are core essential duties and responsibilities that are part of this role:

    • Operate IP-based phone system for incoming calls and messages;
    • Obtain caller names, connect callers with team members, and arrange appointments, as needed;
    • Help connect callers needing assistance with appropriate counsel;
    • Notify appropriate parties of employees calling in late or absent;
    • Help report office maintenance issues, acting as important conduit with building management; 
    • Serve as resource for use of building shared space, helping arrange bookings with building management as needed;
    • Maintain and update internal contact list;
    • Maintain firm calendar and coordinate reservations for conference rooms;
    • Track and account for deliveries from delivery and courier services as well as hand-delivered packages to Attorneys;
    • Assist in-person guests with parking. and help track monthly parking expenses;
    • Arrange catering for meetings, when requested;
    • Maintain a professional and neat appearance, and ensure reception area maintains the highest standards for appearance;
    • Notify attorneys, legal secretaries and production team members of on-call backup support;
    • E-mail confirmation of conference room reservations weekly, and make necessary changes.
