Job Responsibilities Administrative * Ownership of the maintenance and operational excellence of the physical office space. * Welcome visitors to the office; answer phone calls; take and deliver messages; sort and send mail to ensure the office runs smoothly. * Provide administrative assistance, such as writing, editing, drafting documents, and preparing communications on behalf of the leadership team. * Facilitate various on and offsite meetings by scheduling, sending reminders, managing catering, creating meeting agendas, presentation materials, meeting notes and action items for follow up. * Oversees business record keeping - physical and digital - to keep the company compliant with licensing, insurance, and vendors. * Manage vendor relationships, review and approve invoices, and coordinate with Finance/Accounting for timely payments. * Administers the contract review and completion process and serves as liaison for external legal counsel. * Document management - create and maintain Company policies and procedure documents, manage Company electronic filing system, create templates, maintain Org chart and contact list, etc. * Support leadership with finalizing monthly expense reports and timesheet approvals Human Resources * Communicates updates to staff such as policy updates or education. * Assists with needs such as employee relations, payroll enrollment and updates, benefits administration, and other employee related needs. * Manage relationship with PEO * Orchestrates the recruitment and hiring of new employees, through job postings, resume evaluation, coordinating interviews, compilation of team candidate ratings and candidate communications. * Owns maintenance and implementation of company onboarding and off boarding. * Own administration of the company performance management process and system. Operations/Financial/IT * Point person for resolution of technology issues. * Collaborate with the Accounting/Finance team on the overall financial process, trainings on financial systems, and financial reporting. Qualifications * 2-4 years demonstrated experience providing the full range of high level independent executive administrative support combined with proven skill to coordinate complex activities and use independent judgment to organize and prioritize a wide variety of duties and responsibilities. * Excellent interpersonal skills including collaboration, professionalism, and strong consultative skills conducive to building and maintaining positive relations staff and leadership. * Demonstrated ability to meet deadlines, anticipate needs, prioritize multiple tasks, follow through, and work independently without supervision while handling frequent interruptions and rapidly shifting priorities. * Skilled at keeping detailed records and following up on various issues, with intermediate understanding of federal and state confidentiality and record retention requirements. * Skilled at streamlining processes to create efficiencies when necessary. * Superb organizational skills and time management skills. * Ability to manage stressful situations with tact and diplomacy and to use sound judgement and discretion, particularly as it relates to handling sensitive and/or confidential information. * Strong technical skills (Microsoft Office - Excel, Word, Powerpoint, Adobe). * Ability to interact effectively with senior leaders including anticipating needs, accommodating different work styles, and proactively reaching out for assistance. * Ability to gather, evaluate, and to develop well-reasoned conclusions and recommendations to support business operations and processes. * Experience with QuickBooks Online and Deltek Vantagepoint a plus, but not required.
