  • Responsibilities

    OVERALL OBJECTIVE 

    The Broadcast Traffic Coordinator’s objectives are to expedite external broadcast trafficking workflow, manage production scripts and oversee the operational processes to coordinate and release broadcast quality materials to television & radio stations.

     

    ADMINISTRATIVE:

    • Process and monitor production scripts as they arrive via Workfront.
    • Create and coordinate Purchase Orders for the scheduled daily courier, upon request.
    • Create simple estimates when necessary
    • After Estimate & Purchase Order training. Difficulty level = basic.
    • Maintain professional communication with all departments to convey trafficking status, media issues, etc…

    PRODUCTION:

    • Clearly communicate and closely work with Broadcast Production Coordinator to ensure all required fields on a script contain correct and complete information.
    • Liaison between StudioZ and Agency.
    • Manage production scripts and traffic to ensure air dates and deadlines are met.
    • Coordinate with StudioZ and A/S to ensure timely approval and delivery of broadcast commercials.

    TRAFFIC:

    • Plan, organize and manage day-to-day tasks regarding script production, media buys and all required materials to transmit to the appropriate media outlets.
    • Follow up to ensure that traffic instructions have been received/confirmed by stations
    • Coordinate with the Media Dept. regarding media schedules.
    • Liaison for station reps, and Traffic Depts. of stations partners.
    • Create distribution (ER) orders to release Radio and TV commercials to stations.
    • Create and distribute traffic instructions to stations via Strata
    • Track station downloads, as necessary, via distribution vendor (ER)
    • Place creative that has been trafficked in worksheet for Nielsen reporting, daily.

     TEAM RESPONSIBILITIES:

    • Monitor and login scripts as they arrive into the Traffic Dept.
    • Work and support late shift crew, whenever necessary.
    • Work closely with various vendors to meet agency needs.
    • Follow up and ensure that agency procedures are followed.
    • Create and distribute dub order requests.
    • Call or email station for post or pre-logs, as requested.
    • Close projects/Job numbers.
    • Periodically work late or come in early, when necessary.
    • Create TV & Radio orders for spot delivery to stations, as assigned and requested.

    • Computer literate with proficiency in MS Word, MS Excel, MS Outlook, with the ability to learn new computer platforms.
    • Communication and conflict-resolution skills.
    • Resourcefulness and adaptability.
    • Periodically work late or come in early, when necessary.
    • Understand how to effectively communicate difficult/sensitive information tactfully.
    • Committed to the ability to creatively solve problems.
    • Poise and remain focused and calm under pressure with the confidence to eventually work independently.
