    DEPARTMENT ASSISTANT/SECRETARY

    CENTER FOR COUNSELING AND CONSULTATION 

      

    POSITION DESCRIPTION: 

    This position is responsible for providing direct administrative support to the Director and a team of Counselors, serve as receptionist to both Counseling and Disabilities Services and work closely with students seeking assistance for counseling or disabilities services.

     

    RESPONSIBILITIES:

     

    • Perform all secretarial functions, answer phones, take messages, schedule appointments, maintain files, type correspondence, order supplies, document meeting minutes, prepare for meetings and coordinate necessary logistics for larger events.
    • Manage a high volume of calls in a professional, organized and confidential manner. Greet visitors in an appropriate and courteous manner that projects a positive image of the center. Work closely with student clientele to schedule and facilitate the type of services and follow up required. Make appointment decisions for counselor's schedules.
    • Facilitate the entry of student data into confidential databases for each individual office (e.g., Titanium, Medicat, Banner, etc).  .
    • Protect the privacy and confidentiality of students and employees. Understand and comply with the protocols, policies and procedures of both Counseling and Disabilities Services.
    • Respond sensitively to ADA accommodation requests. Prepare and coordinate correspondence for disabilities accommodation requests and final accommodations granted. Maintain related student files and medical documentation and necessary follow up to ensure compliance with NY State and Federal regulations.
    • Establish and maintain a positive working rapport with all staff, work as a team member and demonstrate a positive, proactive approach to daily operations.
    • Exhibit good organizational and time management skills to maintain efficient processing of paperwork, invoices, etc.
    • Assist with the budget management by ensuring invoices are recorded and tracked. Maintain excel spreadsheet for budgets.
    • Maintain visitor statistics ensuring all data elements are accurate. Provide routine reports to Director as necessary.
    • Assist on special projects as required.
    • Evening Hours required.

     

    QUALIFICATIONS:

     

    • College Degree preferred; 2-4 years in an administrative Medical office environment required (i.e. Knowledge of medical and/or psychiatry terminology)
    • Excellent communication and customer service skills; ability to multitask in a busy environment
    • Expertise with Word, Excel, as well as working knowledge of Banner.
