    Institutional and Operations Assistant

    Office of Student Financial Services

    Job Summary:

    Reporting to the Director, Student Financial Services; provides clerical assistance to the administrators within the Financial Aid department on the Queens Campus. This role plays a vital role in the team’s delivery of seamless and exemplary financial services to students and parents.

    Essential Functions:

    · Monitor the General ACD line and respond to inquiries in a timely manner and identify processing areas that need to be clarified in financial aid material and communications.

    · Responds to parents’/students’ questions to assist in the basic interpretation of aid award offers, state, federal and university aid program requirements, verification issues and problem resolution.

    · Assists in reviewing student eligibility and crediting University financial aid assistance awards on student accounts.

    · Prepares restricted scholarship award letters and maintains scholarship files.

    · On an ongoing basis, reviews documentation submitted to the Office, readies it for daily submission for imaging, reviews documentation status on BANNER and prepares Request Letters for additional documentation as needed.

    · Compare unmatched and miscellaneous documents received from Databank and appropriately identify and redirect documents in a timely manner

    · Reviews all documents coded as “Miscellaneous Documents” on the Staging Table, marking files as ready for verification review when pertinent and preparing request letters for additional documentation when needed. When necessary, directs the document to the office or team member to whom it should be referred.

    · During the spring transition period from one aid year to the next reviews all “unidentified” documentation on Staging Table to identify if for the appropriate aid year.

    · Assisting the Director in the awarding, renewing and monitoring institutional grants and scholarships.

    · As needed, assists in preparing mass mailings to prospective and/or enrolled students.

    · Responsible for delivering seamless, effective customer service with a diverse population of students, staff, faculty, alumni and outside agencies.

    · Provide clerical support services to SFS as needed.

    · Assist with SFS mass mailings and call campaigns as needed.

    · Responsible for delivering seamless, effective customer service with a diverse population of students, staff, faculty, alumni and outside agencies.

    · And all other duties as assigned by the Director of Financial Aid.

    Physical Demands:

    · This position requires extensive use of a desktop or laptop with extended periods sitting at a desk.

    · While performing duties, employee may occasionally be required to stand for extended periods during University events or other functions.

    Environmental Conditions:

    Position normally operates in an on campus office environment with a moderate level of noise. There may be occasions when the position requires the employee to work outdoors or in another space.

    Position Type/Expected Hours of Work:

    This is a full-time position. Standard work days and hours are Monday through Thursday, 8:30 a.m. to 4:30 p.m. Friday 8:30 a.m. to 3:00 p.m. Some late night and weekend work is required.

    Travel:

    This is an on-campus position and requires daily travel to the office

    Required/Preferred Education/Experience:

    · High school degree is required, some college is preferred.

    · Two years prior related experience preferred

    · Experience with Ellucian - Banner is a plus

    In compliance with NYC’s Pay Transparency Act, the annual salary for this position is $41,300.     • 5+ years of experience in operating a gluer folder machine.
    • Ability to set up and operate a full range of work on glue machines including straight line, auto bottom, 4 and 6 corner packages, etc.
    • Experience on all kinds of substrates including text, book, cover, board and corrugate.
    • Ability to read and follow written job tickets and schedules.
    • Requires basic math skills.
    • Ability to read and interpret written work which indicates the number and sequence of machine operations required to complete the work and maintain dimensional accuracy in accordance with instructions provided.
    • Ability to provide effective communication with crew, supervisors, managers, co-workers and customers.
    • Ability to work varying shifts, overtime and/or weekends, as assigned.

    WORK ENVIRONMENT

    While performing the duties of this job, the employee is occasionally exposed to fumes, wet and/or humid conditions; moving mechanical parts; and risk of electrical shock. Employees are expected to use PPE (Personal Protective Equipment) and follow appropriate safety procedures as recommended by EHS when conditions require its use. This may include, but is not limited to, hearing protection, goggles, safety shoes, lockout/tagout, etc.

    PHYSICAL DEMANDS

    Lifting up to 30 lbs regularly to move objects. While performing the duties of this job, the employee will frequently sit; use hands and fingers repetitively; climb; talk or hear; stand; reach (extending hands and arms in any direction); bend, twist, walk (moving about to accomplish tasks); and lift(raising objects from a lower to a higher position or moving objects horizontally from position to position).
