JOB DESCRIPTION
We are a small law firm in La Mesa, California, and are general counsel to Common Interest Developments (Homeowners Associations). We are looking for a Transactional Legal Secretary to undertake various secretarial and administrative tasks. Excellent client service and organizational skills are required, and great attention to accuracy and detail. Hours are 8:30 - 5:00 p.m, with some hybrid work available. The candidate must be self-motivated and team-oriented. The goal is to sustain the efficiency of all office procedures and case management to guarantee reliability and consistency.
PRIMARY DUTIES ARE:
- Prepares and revises legal documents, correspondence, memoranda, and e-mails.
- Excellent word processing skills must be able to red-line and type with efficiency and speed with lengthy documents.
- Conduct thorough statistical/documentary research.
- Produce and file various legal documents in bankruptcy court and superior court.
- Sorts and scans incoming mail and e-mails and distributes as appropriate.
- Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders.
- Opens new legal matters and contacts clients for documents and information.
- A notary license is highly desired or the desire to become a notary.
OTHER DUTIES AS NEEDED:
- Enter time for two lawyers and the firm’s expenses into Time and Billing Program.
- Assist in the preparation and e-mailing of bid proposals.
- Performs other duties as assigned.
SKILLS
- Proven experience as a legal secretary
- Knowledge of legal terminology and court system
- Knowledge of MS Office and ability to work with legal technology (court-filing computer systems), and office equipment
- Working knowledge of Common Interest Developments is a plus
- Proficiency in English
- Outstanding time-management and typing skills
- Ability to multitask and be comfortable dealing with a diverse pool of people
