The natural ability to organize and prioritize daily tasks with minimal direction is critical in this position. Excellent communication and client service skills are a must. We are seeking an Administrative Assistant who adheres to the highest ethical standards, possesses impeccable attention to detail and exhibits an exceptionally professional manner. Responsibilities: Participate in training sessions to improve skills Keep team members informed about challenges and issues that need to be handled to ensure open lines of communication on the team Be the point of contact for our customers to help them quickly find solutions Manage website, blog sites and social media to improve company recognition Create and dispense status reports as requested so the team is informed with progress reports Administrative Tasks: • Visit local towns to facilitate and meet town officials for property inspections • Meet photographers and other vendors to provide access • Prepare and send out monthly mailers to past clients and database • Prepare flyers for properties and print packets • Oversee project deadlines and ensure extensions are prepared and distributed when necessary • Order closing gifts for clients • Update sales pipeline with relevant dates and details to ensure up to date sales trajectory Marketing Tasks: • Prepare print marketing materials for properties and database • Create social media posts templates for Instagram, Instagram Stories, and Facebook • Create monthly e-newsletter including design and copy through Mailchimp or similar program • Create and facilitate boosted social media posts (training can be provided on this) • Create other marketing collateral as needed by the team • Modify copy and send templated emails for new hires, and clients periodically Qualifications: High school diploma or GED required Should be empathetic to customer issues and strive to improve relationships Some weekend and evening hours are required Attention to detail and keen organization skills are needed Experience in our industry is a plus • Advanced skills in Facebook and Instagram, particularly Instagram stories • Creative thinker, who also possess a high attention to detail - perfectionist strongly preferred • Ability to work independently and at a fast pace, while also being a team player • Experience with Canva and a keen sense of design • Excel background strongly preferred • Google suite experience • Candidates pursuing a degree in business, marketing, communications or similar field strongly encouraged to apply • Must have a vehicle and access to reliable transportation • Must have a laptop and cell phone Compensation: $13 - $15 hourly
