OFFICE MANAGER
Lake West Chiropractic & Natural Health one the leading natural health care providers in the west metro is seeking a part-time Office Manager (up to 30 hours per week).
THE CLINIC OFFICE MANAGER IS PRIMARILY RESPONSIBLE FOR FACILITATING GOOD COMMUNICATION BETWEEN CLIENTS AND STAFF, ACCURATE SCHEDULING, WORKING IN COORDINATION WITH OUR BILLING SPECIALIST, UNDERSTANDING OF FAST PACED ENVIRONMENT AND EFFECTIVELY COORDINATING ALL ASPECTS OF THE CLIENT'S CARE.
Greets clients/visitors in a pleasant and professional manner and notifies staff of client’s arrival
Verifies and updates insurance as necessary. Completes accurate registration and scheduling in Chirotouch software.
Processes retail point of sale items
Receives and processes client payments at the time of service. Balances receipts daily.
Has consent and intake forms signed
Review services lines for accuracy and follow up with staff if there are discrepancies
Verify all progress notes are complete
Posting of client payments into their appropriate files
Update and implement new and outdated policies
Complete pre-authorizations and authorization
Scans reports into existing records, and performs other record maintenance as needed.
Answers the telephone appropriately and directs calls and/or takes accurate messages.
Facilitates communication between the staff and outside sources, e.g. referring physicians, outreach, rehab therapies, service providers, vendors, insurance contacts. Communication may include written, electronic or verbal
Submit all record requests
Accepts other duties as assigned to promote the accomplishment of organizational goals.
Protects client and team member privacy and only access client and/or team member related information as needed to perform job duties.
Scheduling all appointments, including, new and existing clients, follow-ups and client appointments.
Verify clinic information is accurate for each client and dates are active and schedule upcoming appointments
Participate in special projects and additional responsibilities when assigned to maintain flourishing Chiropractic Office.
Minimum Requirements, Credentials, and Experience
Required
Baccalaureate degree, or equivalent experience
Demonstrated interest or expertise in working in the natural health care field
Demonstrated 1+ years of experience managing a clinical office setting
Demonstrated ability to work well with families and clients
Ability to work effectively as a team member.
Experience with Google and Microsoft Suites, clinical software and the ability to learn Chirotouch Software
Successfully pass a criminal background check
Attention to Detail
Preferred
Understanding of Chiropractic and holistic health
Experience collecting health insurance information and/or processing patient payments
Experience with patient registration
Scheduling experience
