Overview
As the Executive Assistant to the Chief Knowledge Officer (CKO), you will play a pivotal role in providing high-level administrative and organizational support to the CKO. You will help ensure the smooth operation of the CKO's office, enable effective communication, and assist in various administrative tasks.
Executive Assistant t o Chief Knowledge Officer – main duties and responsibilities are:
Administrative Support:
- Manage the CKO's schedule, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for meetings and presentations.
- Handle phone calls, emails, and inquiries, prioritizing and responding as necessary.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and professionalism.
Communication Liaison:
- Act as the primary point of contact between the CKO and internal/external stakeholders, clients, and team members.
- Coordinate and facilitate communication flow, ensuring timely and accurate information exchange.
Meeting , Event , and Workshop Coordination :
- Schedule and organize meetings, conferences, events, podcasts, keynotes, and workshops including trainers, logistics, web pages, registrations, catering, materials, AV, and communications.
- Manage CEU applications for workshops and sending certificates.
- Attend meetings, take notes, and prepare meeting minutes and action items.
Project Support:
- Assist in project management tasks, including project creation, tracking project timelines, budgets, work orders, deliverables, participant attendance, and related communications.
- Collaborate with team members to ensure projects stay on track.
Travel and Expense Management:
- Ensure travel plans align with the CKO's schedule and priorities.
- Arrange travel itineraries including flights, ground transportation, accommodations, directions, meeting locations, and contact information.
- Track expenses and submit on expense report or invoice within required timeframe.
- Manage work orders and invoicing.
- Submit AMEX expenses, NetSuite expense reports, and monthly bank statements to SLC Bookkeeping.
Research and Information Management:
- Conduct research on various topics as needed, providing the CKO with summaries and analysis.
- Organize and maintain digital and physical files, ensuring easy retrieval of information.
- Update Curriculum Vitae with publication, podcast, and keynote information.
Team Support:
- Assist in team-related administrative tasks, such as onboarding new employees, organizing team events, and maintaining team calendars.
Qualifications:
- Bachelor's degree in business administration, communication, or a related field preferred.
- Proven experience (typically 3-5 years) as an executive assistant or in a similar role, preferably in a professional services environment.
- Strong organizational and time management skills with an ability to prioritize tasks effectively
- Excellent written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Attention to detail and a high level of accuracy.
- Discretion and the ability to maintain confidentiality.
- Adaptability and the ability to work in a fast-paced and dynamic environment.
- Professionalism, including a polished appearance and demeanor.
- Knowledge of leadership development or consulting concepts is a plus.
As the Executive Assistant to the CKO, you will be a key contributor to the efficient functioning of the CKO's office and its overall success. Your ability to manage administrative tasks, facilitate communication, and maintain confidentiality will be crucial in supporting the CKO's leadership and client service responsibilities.
