    We are a high-growth organization looking to accelerate the development and commercialization of high-quality therapeutics worldwide. We have offices in California, Texas, Kentucky, Florida and Israel and are searching for an Administrative Assistant.

    PRIMARY DUTIES AND RESPONSIBILITIES:

    • Organize and communicate various Company events in multiple locations.
    • Attend and take minutes at various executive meetings, as needed.
    • Run errands; manage appointments; make reservations, place orders.
    • Answer and return phone calls, fielding and directing inquiries as appropriate.
    • Prepare various reports, memos, and correspondence; proof and edit for accuracy.
    • Greet visitors, vendors, etc., and route to appropriate contact.
    • Schedule meetings, arrange conference calls.
    • Maintain orders and invoices for office supplies, business cards, etc.
    • Review incoming memos, submissions, and reports to determine their significance and route as appropriate.
    • Open, sort, and distribute incoming correspondence, including faxes and email.
    • File and retrieve documents, records, and reports.
    • Assist with Safety Concerns.
    • Assist with Safety Data Sheet maintenance.
    • Assist with Safety Committee and send invitations, draft agenda and ensure the checklists are completed quarterly.
    • Other related duties as assigned.

    REQUIRED SKILLS, ABILITIES, AND QUALIFICATIONS:

    • High School Diploma or General Education Degree (GED).
    • 3+ years of administrative assistant experience; or equivalent combination of education and experience in a manufacturing setting.
    • Excellent communication skills, written and verbal.
    • Positive attitude and team player; willing to assist and support various/multiple departments as needed.
    • Able to prioritize and work under a tight schedule.
    • Well organized with strong attention to detail.
    • Expert in MS Office suite of programs (Excel, Office, Outlook, Power-point, etc).
    • Able to maintain a flexible schedule to assist with events /activities outside of normal work schedule.
    • Trustworthy; able to maintain and manage confidential information.
