    We are seeking a dynamic Event and Group Services Manager to join our team. A successful candidate will have a genuine passion for the hospitality industry and an entrepreneurial spirit.

    Responsibilities

    Manage definite bookings (groups and events) that are turned over by the sales team; organize bookings from date of contract signing to departure, including meeting & event requirements, rooming lists, guest room pickup, monitor cut-off dates, food & beverage planning and audio visual needs.

    Establish and maintain rapport with clients, prior to, during and post program, encouraging repeat business. Constant presence and availability to client before, during, and after group program.

    Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.

    Coordinate with the Sales Department to ensure proper utilization of function space to yield maximum revenues.

    Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.

    Create floor plans for each event to ensure clients are in agreement prior to set up (Social Tables).

    Initiate billing procedures, ensuring any deposits and/or credit applications are received with adequate information and within an acceptable time frame.

    Conduct pre-conference meetings with clients and pertinent departments to confirm all relevant details are communicated.

    Assist Director of Banquets/F&B with on-property group servicing when needed.

    Review all function space with banquet manager.

    Ensure satisfaction of client at the outset of all events.

    Coordinate all Brand/Creative Events at hotel working closely with the Brand department.

    Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Resume Meeting, BEO Meeting, Sales Meeting Pre-Convention Meetings, Planning Visits and Menu Tastings.

    Make timely and impromptu decisions, which balance client’s needs with the financial, safety and staffing goals of the hotel.

    Find solutions to the inevitable challenges and glitches that arise while groups are on property.

    Maintain knowledge of hotel facilities, capacities and dimensions of meeting space and basic operational needs of all operating departments.

    Establish and maintain good communication and teamwork with fellow colleagues and other departments within the hotel.

    Gather and submit all daily, weekly and monthly reports as directed by Director of Sales & Marketing.

    Offer guests and clients an enjoyable experience that conforms to the LINE’s standards of excellence, professionalism and friendliness.

    Adhere to all standards of operations, policies and procedures, manuals, memos and verbal instructions.

    Maintain flexible hours to accommodate client needs, due to the cyclical nature of the hospitality industry. The Event & Group Services Manager may be required to work varying schedules to reflect the business needs of the hotel.

    Knowledge, Requirements and Skills

    1. High-School diploma or GED required

    2. Two (2) year hotel or related experience preferred

    3. Excellent reading, writing and oral proficiency in the English Language

    4. Excellent organizational skills and attention to detail

    5. Ability to multitask

    6. Excellent time management skills

    7. Must be courteous and gracious, maintaining a professional demeanor at all times

    8. Must be a technically skilled business professional who is willing and able to find innovative solutions and process improvements while maintaining expenses

    9. Excellent interpersonal and negotiation skills, has high energy and enjoys working with people

    10. Must be positive, result oriented and able to work well under pressure and guidelines

    11. Must be able to work well with a diverse group of team members, including Sales Managers, banquet staff, department heads and supervisors

    12. Able to handle a large volume of guest interactions in an efficient and courteous manner

    13. Expertise in Microsoft Office, Internet, Outlook and Delphi are required

    14. Work well under pressure, be a team player
