    Job Description

    We have an opening for an Events and Outreach Manager to manage a dynamic and fast-paced environment within the Global Security’s (GS) Directorate Events and Outreach Office (EOO). Under minimal direction, you will provide overall management, direction and leadership to the GS EOO and have overall responsibility for the successful management and coordination of an extensive volume of high-level visits, meetings and events involving distinguished guests to GS; coordinating on and off-site visits, meetings, conferences and outreach events, both classified and unclassified in nature.  You will be an integral member of the GS senior management team and frequently interact with high-level Laboratory management, LLNS Board of Governors, LLNL Protocol Office, as well as VIP visitors to include officials and representatives from various government agencies, academia and private sector both U.S and Foreign.     

    IN THIS ROLE YOU WILL

    • Oversee and participate in planning, decision-making, and coordination of all GS events, assigning appropriate staff to work with visits or events as required. Serve as GS Directorate subject matter expert in high level protocol visits, workshops, conferences and special events. 

    • Serve as a key advisor for establishing goals and priorities for each visit. Participate as member of special committees, GS and institutional.  Develop and recommend draft agendas and review final agendas and schedules for visits and meetings; coordinate discussion topics with appropriate senior management and programmatic offices.

    • Research, coordinate and develop solutions to complex visits and events problems using innovation and ingenuity.  Serve as primary liaison with customers and management to ensure complex problems are appropriately handled, providing recommendations.  Assess visitor's technical interests and coordinate briefings with appropriate management and/or programmatic offices.

    • Manage the day-to-day operations of administrative processes and activities and serve as a point of contact for all action items and requests. Responsible for all aspects of the management and daily operation of the EOO and managing the EOO budget.

    • Lead the implementation of business, operational and/or organizational activities. Serve as a resource providing guidance on the interpretation and application of business policies, procedures, and practices; review documentation for adherence to policies and ensure consistency.

    • Lead, manage, direct, and oversee special projects, including the GS Directorate External Review Committee Meetings (ERC’s), to achieve organizational goals and objectives. Act as a liaison for the coordination and implementation of these activities, ensuring timelines and compliance of security requirements.

    • Independently clarify, coordinate, communicate, and disseminate information on behalf of the GS PAD. Assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.

    • Perform other duties as assigned.

  • Qualifications

    Qualifications

    • Experience coordinating and leading administrative projects and/or operational work activities including high level visits, conferences, off site meetings, events, and multi-faceted internal processes for a work unit and/or functional area.

    • Innovative thinker with demonstrated advanced organization, problem solving, decision-making, and analytical skills necessary to independently analyze and recommend appropriate actions and implement solutions in real time situations.

    • Experience leading multifaceted internal processes and developing and implementing various administrative procedures and workflow processes to enhance efficiencies and meet objectives.   Ability to lead departmental or large-scale projects including planning activities, providing ongoing updates to management, and providing direction and feedback to team members with experience coordinating multiple, frequently shifting work activities, workflow and multi-faceted processes.

    • Advanced knowledge and experience with computers and associated software including MS Office applications; experience creating and maintaining complex spread sheets and developing presentations. Excellent grammar, proofreading and editing skills with emphasis on attention to detail.

    • Leadership and team building skills with the ability to influence and build productive relationships with the aptitude to assume responsibility and make decisions with minimal guidance within a disciplinary team.

    • Experience formulating a budget, reviewing, updating, and communicating a budget.

    • Ability to understand customer needs and interpret and apply relevant policies and procedures. Experience working across institutional lines as a recognized consensus builder with strong customer service skills; experience building and leveraging relationships with senior professionals across multi-disciplinary teams to accomplish shared goals and objectives.

    • Effective interpersonal, verbal, and written communication skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment; ability to effectively deal with difficult situations and personnel.

    • Demonstrated ability to work independently on highly involved projects with frequently changing variables and multiple factors that are not easily answered by standard procedures and ability to work a flexible schedule to accommodate protocol visits, briefings, and special meetings.

    QUALIFICATIONS WE DESIRE

    • Advanced computer skills, including proficiency with LLNL standard software packages (VTS, LEAP, Catering, FTS, etc.). Experience working with CVENT online registration tool. Experience in working with WebEx, Zoom and Teams.

    • Experience working in a scientific or technical program.

    • Broad institutional knowledge of the Laboratory and its programs and knowledge of organizational structures of LLNL’s key stakeholders (e.g., DOE, DoD, Congress, and sister Laboratories).

    SECURITY CLEARANCE

    This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at time of hire.
