    Job Description

    GENERAL DESCRIPTION:

    Under the direction of the Chief Executive, the Officer Manager is responsible for the overall operations of the clinic. Must ensure that the office is running smoothly and proficiently. Additionally, develop and implement processes and procedures for the operation of the practice. The office manager is expected to be fully engaged in the clinic’s environment and provide easy, responsive, and pleasant service to clientele of psychiatric health and wellness setting.

    PRIMARY RESPONSIBILITIES OF THE POSITION:

    1. Coordination of the day to day operations of the clinic

    2. Provides support and assistance to Therapy Clinic doctors and clinicians as needed ensuring quality customer service to the public.

    3. Responsible for oversight and management of patient scheduling system to manage all paper and electronic information including registration, insurance records, patient billing, and patient referrals

    4. Prepares and processes insurance billing and claims

    5. Reviews documents for completeness, accuracy, appropriate authorization and compliance with regulations and procedures.

    6. Maintains the official records of patient insurance information

    7. Coordinates and oversees the following administrative functions: • Accounts payable/receivable • Office services and supply purchasing as needed

    8. Front office/receptionist duties include answering and routing incoming calls.

    9. Monitors office correspondence and other documents.

    10. Perform general office tasks: • Open and distribute daily mail • Order office supplies • Maintain current, accessible files

    11. Arrange logistics for meetings, conferences, and other group sessions, as needed

    12. Execution and adherence to office policies and procedures including maintaining confidential records and information.

    13. Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.

    REQUIRED QUALIFICATIONS:

    1. Bachelors degree preferred OR a minimum of 2-3 years work experience in a position with progressive responsibility in performing administrative functions and office management.
    2. Must possess strong organizational skills, attention to detail and work ethic.
    3. Excellent computer skills: MS Word, Excel, Internet, and e-mail.
    4. Experience working with medical insurance panels, highly desirable
    5. Must demonstrate good oral and written communication skills.
    6. Cheerful, helpful, positive attitude.
    7. Ability to work independently and be a team player.
    8. Experience working in a social service or clinical setting preferred, but not required.
    9. Bilingual Spanish/English candidates are encouraged to apply

    SALARY: $20.00 /hour BENEFITS: None HOURS PER WEEK: 20
