EXECUTIVE ASSISTANT (EA) TO LAIRD NORTON COMPANY PRESIDENT/CEO AND LAIRD NORTON PROPERTIES PRESIDENT

The Executive Assistant (EA) position is an opportunity to:

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Communication Liaison:
- Manages email communications for the LNC CEO and LNP President. Uses sound judgement to respond as appropriate or delegate to key executives as needed.
- Interfaces with company executives and managers, board members and outside third parties to represent the views and requirements of the LNC President/CEO and the LNP President. Exercises judgment to reflect Executive's style and company policy by answering or returning phone calls/emails, as appropriate, when executives are unavailable.
- Function as a “barometer,” having a sense for the issues taking place in the environment and keeping the LNC CEO and LNP President updated as appropriate.
- Support the LNC CEO and LNP President with initial drafts of communications/deliverables/presentations.
- Develop draft PowerPoint slides and documents as required.
Special Projects:
- Completes projects and assignments by establishing objectives, determining priorities, managing time, collaborating with others, monitoring progress, problem solving, and being flexible.
Proactive Calendar Management:
- Coordinate complex scheduling and extensive calendar management.
- Prioritize meeting requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Keep the executives aware of upcoming commitments and key business calendar appointments.
Meeting Coordination:
- Coordinate monthly staff meetings, annual Senior Management Retreat, and other meetings as requested. Offer ideas/recommendations/insights to create the most collaborative and engaging experience.
- Attend meetings as requested for note taking purposes.
- On-site logistical support for LNC/LNP Board and REC meetings in partnership with the EA to the Board Chair.
- Assist the CEO in promoting and coordinating Enterprise-wide activities.
- Anticipate the needs of the LNC CEO and LNP President in advance of meetings, conferences, etc.
- Prepare conference rooms for in-person meetings – includes set-up and clean-up of conference rooms.
File Management:
- Comprehensive understanding of LNC SharePoint filing system, naming conventions, and appropriate tagging of documents per specifications.
- Responsible for filing business documents in SharePoint on behalf of the LNC CEO and LNP President and updating superseded documents with the correct naming convention and tags.
Travel and Financial Management:
- Manages business travel arrangements and logistics.
- Timely submission of expense reports for processing/reimbursement of all expenses for the LNC CEO and LNP President.
- Oversee LNC CEO and LNP President financial expenditures including travel, holiday gifts, etc.
- Provide administrative support during yearly budget cycles.
COMPETENCIES, SKILLS, AND TECHNICAL REQUIREMENTS:
- Proactive problem solver with meticulous attention to detail.
- Exceptional verbal and written communication skills including the ability to speak and write in a succinct and positive manner; write routine reports and correspondence; speak effectively before groups or employees.
- Superb professionalism as a representative of the LNC CEO and LNP President’s office and the ability to interact with the board, Family members and external stakeholders with respect and credibility.
- Strong people skills and must be able to maintain confidentiality and act with discretion.
- Work well independently, recognizing workload demands and prioritizing them appropriately; must also be flexible to accommodate rapidly changing priorities.
- Demonstrated advanced level mastery in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), SharePoint and virtual platforms such as Teams and Zoom.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Exceptional organizational skills and the ability to complete a large volume of accurate work.
- Ability to look ahead and anticipate needs for travel, meetings, and projects and take initiative to coordinate.
- Ability to work well within a cross-functional team and diverse groups.
- Knowledge of / learn the company mission, vision, and values.
EDUCATION AND/OR EXPERIENCE:
- Five+ years related experience providing support to the C-Suite level management, or equivalent combination of education and experience.
- Associate or bachelor’s degree preferred, but not required if equivalent experience is demonstrated.

COMPENSATION: $78,560 - $117,840
