Job Description
PRIMARY ROLE: The Administrative Assistant performs key tasks to support Latham’s headquarters including the Senior Leadership Team and Human Resources team while serving as a back-up to the Receptionist.
ESSENTIAL FUNCTIONS:
1. Provide daily back-up to the main switchboard during the Receptionist’s breaks and times away from the office, assuring efficient screening and forwarding of incoming phone calls and in-person visitors to the location. Full front desk coverage when Receptionist is out of office.
2. Partner with the Receptionist to assure that meeting rooms and entryways into the building are welcoming, tidy and convey a professional atmosphere consistent with Latham’s culture and brand.
3. Assist with additional Receptionist duties as assigned.
4. Support Human Resources tasks including but not limited to new hire entry and scanning/document uploading into the ADP payroll system, file maintenance in ADP, event planning/execution, drafting internal communications, updating bulletin boards and others as assigned.
5. Assist the Corporate Recruitment Specialist with job candidate interview scheduling, paperwork processing, various communications and other related tasks.
6. Assist in the scheduling and coordination of training activities as needed
7. Provide administrative support to members of the Senior Leadership Team - CHRO, CIO, CCO, COO to include:
QUALIFICATIONS:
· Bachelor’s degree preferred; Associates degree with commensurate experience may be considered
· A minimum of two years’ of related experience in Human Resources with specific experience using HR systems (ADP preferred)
· Confidence working with all levels of employees and in maintaining confidentiality
· Proficiency in using a variety of software applications, such as Excel, Word, Outlook, Adobe and PowerPoint
· Strong editing skills and competency in compiling information in various software applications
· Knowledge of standard office administrative practices and procedures: Vetting phone calls, meeting requests, creating correspondence, prioritizing critical needs, etc.
· Must be available to work 8am to 5pm, Monday thru Friday, with availability after hours as needed
· Physical demands: Minimal physical effort; Ability to stay in a sitting position for most of the working day while looking at a computer monitor; Ability to open filing cabinets, bend or stand; Minimal lifting required
