    THE ROLE

    The Executive Assistant, Finance, role will provide administrative support to the SVP, Finance and Operations, and team. This person should be productive while working independently and able to perform well while multi-tasking in a thriving, fast-paced environment.

    RESPONSIBILITIES:

    • Build a partnership to anticipate needs and provide high-level, tailored executive support for Finance executive, and the supporting team. 
    • Ensures the efficient and effective functioning of the day-to-day activities for the executive; anticipates needs and proactively addresses them.
    • Serve as liaison between the executive and other cross-functional departments as directed
    • Handle schedules, screening and executive priorities in an organized, efficient way. The ability to understand priority calls and meetings and communicate quickly and thoroughly in an ever-changing environment is key
    • Handle general administrative duties and responsibilities for Finance and Accounting such as storing all relevant documents accordingly, handling expense reports, booking travel, planning celebratory team events, etc.
    • Meeting planning responsibilities include the scheduling of all necessary attendees, booking meeting rooms, supporting the preparation of meeting agendas, taking meeting minutes, solving scheduling conflicts/issues and any other required documentation.
    • Coordinating internal and external department communications, including communications with external parties, weekly department standups, assisting with company presentations, team emails, etc
    • Facilitate key staff meetings by structuring agendas, taking notes, and organizing work streams.
    • Partner closely with the Executive Assistants from other departments and admins across the company to plan and execute meetings and events
    • Work closely with the hiring managers to coordinate onboarding for our new hires
    • Provide ideas of how to improve efficiency and automation within the department
    • Support team with any other additional needs and Adhoc Projects

    REQUIREMENTS:

    • 5 years administrative support experience
    • Strong verbal/written communication
    • Experience working in a finance or accounting department a plus
    • Must have proficient in using Microsoft Office suite including Outlook, Excel, and Word
    • Ability to use Adobe, Slack, Dropbox, Zoom, and other internally used applications
    • Ability to engage in positive interaction with co-workers, executives, and high-level industry professionals; prioritize, organize, problem solve, follow-up, communicate and diffuse possibly volatile situations with tact
    • Ability to multi-task, be organized, detail oriented, self-driven, forecast issues and handle last minute projects to meet deadlines.
    • Great attitude, calm and collective in a fast-paced environment; helpful, friendly, and diplomatic
    • Ability to meet tight deadlines and manage multiple projects at once
    • Ability to prioritize needs on the go and exhibits a strong sense of follow through
    • Excellent attention to detail and organizational skills
