We’re seeking a seasoned, in-person Administrative Manager to oversee office administration functions, including operations, human resources, compliance, and policy, talent acquisition, 401(k) administration and benefits and payroll management, facilities, supervision of accounting, administrative, and client services staff, and coordination of technology needs, leveraging our IT vendor. The Administrative Manager keeps the Firm’s needs in the forefront and works closely with the Owners, executive team, and Director of Operations, with daily contact with a variety of office staff. This position is a primary driver of leadership, culture, and problem-solving. We are seeking an experienced law firm professional with excellent judgment, knowledge, and discretion who understands the pace of law firm management and how to prioritize urgent items. The Administrative Manager is the face of the office and an essential resource for guiding the team. Responsibilities: • Partner with the Owners and Director of Operations to ensure appropriate cost management and planning for office facilities, supplies, overtime, and time-off • Lead monthly staff meetings, including preparation of appropriate content; ensure meetings are physically set up in advance and that all attendees are present and on time; plan and delegate to the administrative team for office events • Leads the office as a whole; supervises Client Services team and its team lead, Accounting team, Executive Assistants, and serves as a resource and HR contact for Legal Production team, including Attorneys, Paralegals, and Administrative Assistants • Execute and update/maintain HR policies and handbook, compensation plans, performance evaluations, and employee relations; identify areas needing improvement and coordinate with PEO and HR Partner • Supervise recruiting, plan onboarding process, and coordinate ongoing training for staff; handle offboarding process as needed • Ensure every role has a clear job description, KPIs, and documented processes • Identify areas of operational improvement and work with the Director of Operations to implement • Serve as the main point of contact for external vendors and liaison to the Managing Partner • Oversee and administer all systems, which include administrator access, granting security privileges, coordinating with the IT vendor to provision new users or for issue support, and having expert proficiency • Execute assigned or appropriate action items from the weekly Management Team Meetings • Supervise accounting and finance functions and staff, including billing, collections, bookkeeping, expense management, and payroll; serve as a backup for payroll processing, check printing, and bonuses/commissions • Oversee IT services vendor, handle technology purchases and contracts, plan and implement paper and electronic document storage solutions, and work toward a “paper lite” environment • Attend trainings and keep up-to-date on best practices regarding HR, management, and law firm administration Qualifications: • Bachelor’s degree in Business, Management, Accounting (or equivalent experience) • 3+ years of Office Manager/Operations Manager/HR Manager/Administrative Manager or Coordinator experience in a professional services environment; law firm experience strongly preferred • Proven track record in accounting, technology, office management, and human resources leadership • Exceptional project management skills; ability to balance competing priorities • Highly tech-savvy with experience coordinating onsite needs for staff • Strong analytical mindset with expertise in KPI development and process improvement • Outstanding communication and interpersonal skills, with a collaborative, solution-oriented approach • Bilingual (English/Spanish) at an advanced professional level strongly preferred Compensation: $75,000+ yearly dependent on experience
