Law Firm Administrator
Job Description
We are a dynamic and well-established personal injury law firm in Bowling Green for 50 years committed to providing exceptional legal services to our clients. We are seeking a highly skilled and organized Legal/Law Firm Administrator to join our team. As an Administrator you will play a pivotal role in overseeing the daily operations of the firm.
Position Summary:
The Legal/Law Firm Administrator will manage and oversee office operations, including financial and systems management. This role requires an individual with strong leadership, multitasking abilities, excellent communication skills and a comprehensive understanding of accounting systems.
Key Responsibilities:
· Oversee day-to-day operations of the firm.
· Oversee and coordinate with the firm’s bookkeeper regarding financial operations and as needed perform bookkeeping functions and payroll.
· Insure compliance with legal and regulatory requirements, including disbursements for IOLTA Trust Account and maintaining client confidentiality.
· Oversee technology and office systems ensuring smooth operation of legal software and other resources coordinating with the firm’s IT provider.
· Annual review of health insurance and other benefits for staff and attorneys.
· Create financial reports for preparation tax and other filings
· Oversee payment of vendor bills, accounts payable. Prepare and distribute 1099s
· Work with third party vendors to maintain service (internet, cloud access, telephone, security)
· Make recommendations regarding upgrades
· Assist employees to resolve application issues
Other duties as required to include overseeing the day to day operations of the firm and businesses.
Qualifications
· BS degree in business administration and/or legal studies, business finance, accounting
· Proven experience in financial management and office administration
· Excellent communication, organizational and interpersonal skills
· Ability to work under pressure, multi-task, efficiency with (Quickbooks), Microsoft Office Suite and case management software
· Strong leadership skills with ability to manage
