Law Firm Customer Service Representative - Receptionist
The Law Office of Julie A. Paquette, PLC is a growing estate planning and probate law firm located in the heart of downtown South Lyon. We are seeking a highly organized, people-focused Customer Service Representative to serve as the first point of contact for both clients and prospective clients and to become an integral part of our exceptional team. You will engage with clients daily, where active listening and clear communication are essential. From managing phones and scheduling appointments to handling key administrative tasks, you will play a vital role in keeping the front office running seamlessly. Responsibilities: Client Experience & Intake • Welcome clients and visitors with a warm, professional presence that reflects the firm’s values • Deliver exceptional customer service while answering, screening, and directing incoming phone calls • Lead initial intake calls with prospective clients, gathering information with empathy, attentiveness, and care • Assess prospective client needs and guide them toward scheduling an initial consultation with the appropriate team member • Coordinate and manage appointments through the calendar system using phone, email, and text communication • Support new client onboarding, including assisting with paperwork collection and completion Administrative & Office Support • Handle daily mail by receiving, sorting, and processing efficiently • Maintain a clean, organized reception area and prepare the conference room for meetings • Organize and maintain both electronic and physical client files with attention to detail • Monitor office supply levels and assist with general administrative tasks such as scanning, filing, and copying • Provide support to team members as needed to ensure smooth day-to-day operations Qualifications: • 1 to 2 years of experience in a professional office setting with administrative responsibilities • Strong interpersonal and communication skills, with the ability to build rapport easily • Highly organized with excellent attention to detail • Ability to prioritize and manage multiple tasks in a fast-paced environment • Proficiency in Microsoft Office • Professional and approachable demeanor with a client-first mindset Preferred, Not Required: • Experience working in a law firm environment • Familiarity with CRM or case management software Compensation: $18 - $20 hourly depending on experience
