Our rapidly-growing law practice is seeking a full-time legal intake specialist to join our team! You’ll survey prospective clients and empathize with them on the details of their case, manage new client onboarding and data entry, and help our lawyers book and manage their appointments. Responsibilities: • Book consultations for prospective clients with our lawyers to expand our caseload and ensure meeting schedules are accurate • Help foster prospective client streams by providing input into awareness and law firm partnerships initiatives alongside the marketing team • Supervise new client onboarding and current client files through data entry and paperwork collection to ensure our cases are managed efficiently • Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard • Perform miscellaneous clerical tasks as needed, including transcription, research, spreadsheet management, and email writing to ensure operational efficiency • Screen and evaluate potential client contacts, establishing compassionate connections focused on client goals • Conduct initial screening consultations (non-attorney consultations) • Convert qualified potential clients into firm clients or schedule attorney consultations • Gather detailed, fact-specific information about potential clients and their situations • Understand the firm’s legal practice areas and services • Analyze potential clients’ legal needs and communicate relevant legal services • Describe firm services, approach, engagement terms, and case-related matters to potential clients • Prepare and present engagement letters and proposals with detailed explanations for clients • Prepare and organize meeting materials for the upcoming consultation • Accurately input potential client intake information into the firm’s CRM system • Follow up with non-converted potential clients and assist attorneys in consultation preparation • Collaborate with attorneys on proposals and presentations for corporate clients or potential projects • Answer incoming calls and work with client relationships and the marketing manager on sales planning and trends • Organize sales data, analyze trends, and assist in the development of resources for potential clients • Handle the firm's general administrative tasks, including guest greeting, and internal assistance of other departments when needed Qualifications: • Skilled with Microsoft Office, especially Microsoft Excel • Strong ability to communicate eloquently and empathetically a must • CRM and case management software experience a plus • Firm knowledge of spreadsheet and data management, as well as computer skills • High school diploma or equivalent required; Bachelor’s degree preferred • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) • Experience with CRM, preferably Lawmatics • Previous experience in a law firm or professional services firm is preferred • Must be Bilingual in English and Korean • Self-starter and team player with excellent prioritization, problem-solving, and time-management skills • Outstanding interpersonal and communication skills, both written and oral • Flexibility and adaptability in a fast-paced work environment • Strong client-first work ethic • Proactive, can-do attitude, with great follow-through and resourcefulness • Knowledge of the legal industry is an asset • Real-life experience with a few "battle scars" for empathy and understanding is an asset • Ability to effectively interface with all levels of personnel within the organization and external clients • Strong attention to detail Benefit: After Probationary Period • Health, Dental & Vision Insurance • PTO • 401(k) and company match of 4% • Professional development assistance Compensation: $20 - $25 hourly DOE + bonus
