    We are currently seeking an experienced Office Administrator/Receptionist to oversee the daily front desk and office operations of the law firm located in Woodland Hills, CA. This is an opportunity to have a significant impact on the organization.  We are seeking an energetic professional dedicated to providing detailed, accurate work and assistance for a diverse environment in which staff and lawyers can thrive.

    This position is a blend of administrative, operations, facilities, event and hospitality related task that require the ability to adapt to changing priorities and demands with little or no notice. Candidates who apply should demonstrate exceptional commitment to service excellence, leadership and flexibility to support a team of diverse staff professionals.  Strong knowledge of Microsoft Office is an essential requirement of the position.

    RESPONSIBILITIES INCLUDE:

    • Handle all front desk office operational functions for the Woodland Hills locations including but not limited to client intake, answering phones, calendaring items for the legal team, scanning documents, effective email communication, document filing and retrieval, ordering meals for staff lunch meetings, making coffee for the office and clients.  Cleaning client and the owner’s dishes

    • Act as the liaison to the Oakland and NY office for office operational functions

    • Draft correspondences and other formal documents

    • Plan and schedule appointments and events

    • Greet and assist onsite guest

    • Plan and conduct regular office machine maintenance task and the ordering of necessary supplies

    • Oversee facility maintenance; serve as liaison with local property management and working with building personnel and appropriate internal contacts

    • Conduct office supply par level inventory checks and order supplies accordingly

    • Assist Director of Finance with insurance application renewals and follow-up

    • Maintain office security protocol and ensure office meets proper business continuity obligations of the firm

    • Assist the Business Manager with ad-hoc task and assigned projects

    • Assist with and/or plan staff events as requested

    • Ensure that staff kitchen is maintained, make coffee, clear and clean client and owner dishes from conference room

    • Perform all other office task as needed

      QUALIFICATIONS

    • Some college education and a minimum of seven years working in an administrative role in a midsize or larger professional services firm

    • Proven senior-level skills in communication, and organization

    • Sound judgment and effective interpersonal communication skills

    • Ability to multi-task and prioritize in a fast-paced, detail-oriented work environment

    • Excellent problem solving and follow-through skills

      Strong knowledge of Microsoft Office is an ESSENTIAL requirement of the position
