The Law Firm Operations & Intake Manager is a high-impact role at the center of the firm’s performance and growth. Job Type: Full-time Benefits: • 401(k) & 401(k) matching (after 3 months employment) • Dental/Health/Vision insurance • Annual PTO • Yearly Bonus Opportunity • Free parking • Wellness program Responsibilities: Firm Administration • Manage daily office operations, including scheduling, workflow coordination, and vendor relationships • Maintain office systems, policies, and procedures to ensure efficiency and compliance • Manage billing processes, invoicing, and accounts receivable/payable • Liaise with external service providers (IT, bookkeeping, legal vendors, etc.) • Assist with HR functions, including onboarding and personnel file management Client Intake & Relations • Serve as the first point of contact for prospective clients via phone, email, and online inquiries • Evaluate potential matters based on firm criteria and route appropriately • Schedule consultations and ensure proper attorney-client matching • Maintain and update client intake records in the firm’s CRM or case management system • Communicate clearly and empathetically with existing and prospective clients, ensuring a positive experience • Coordinate engagement letters and follow up on retainers and documentation • Track intake metrics and assist in improving conversion rates Qualifications: • Bachelor’s degree preferred; equivalent experience in legal administration considered • 3+ years of experience in a law firm or professional services environment • Experience with client intake processes, preferably in a legal setting • Strong organizational and project management skills • Excellent verbal and written communication abilities • Proficiency with legal software, case management systems, and Microsoft Office or Google Workspace • Ability to handle client communications with discretion and professionalism Core Competencies • Attention to detail and accuracy • Strong client service orientation • Ability to manage multiple priorities and deadlines • Sound judgment and problem-solving skills • Professional demeanor and reliability Compensation: $50,000 - $57,500 yearly
