    We are looking for a Professional Legal Administrator to work directly with the Firm's Owner to oversee everything except the practice of law and who will plan a key leadership role in shaping and sustaining Firm culture. This is an executive-level position responsible for a wide range of activities in all phases of administration, personnel, finances, facilities, and business systems. You must have experience managing a team of more than 10 people and a budget of more than $2,500,000. This is not a position for an “Office Manager” or an “Administrative Assistant.” This is an executive-level position with an executive compensation plan that includes a salary and incentives driven by performance towards KPIs. Our firm has been very successful, and we have grown rapidly without the guidance of a Professional Legal Administrator. We are proud of the firm we’ve built; we’ve done a lot of good, and we’ve gotten a lot of stuff right! But there is a lot of room for improvement and expertise. This is the first time we will be bringing in someone from the outside to help us manage and grow our firm. The right person for this position is someone we can develop trust in and who will trust in us. The right person for this position will be able to “manage up” to help us help you get your job done. Responsibilities: • Works closely with the Owner to develop and execute the Business Plan, Budget, and Strategic Calendar. Based on goals and timeframes, primarily responsible for contributing specifically to the Staffing Plan, the Systems Plan, Facilities Plan, and the Strategic Calendar. • Work closely with the Owner to implement practice-specific business development and marketing plans. • Hiring manager in charge of recruitment, hiring, initial orientation, and onboarding. Oversees the administrative aspects of attorney hiring and works with the executive-level attorneys to interview on-board and train attorneys. • Performs audits and spot checks and takes proactive steps to find whether policies and procedures are being followed and ensures that processes and systems are operating as intended.  • Monitors the workflow pipeline to ensure matters and clients move progressively to established milestones and resolution in the prescribed amount of time; considers case/matter workflow management and benchmarking from the systemic level to ensure personnel and processes are performing according to exceptions. • Works with Accountant, Bookkeeper, and Billing Specialist (or any vendors providing these services) to oversee and execute financial systems: time-tracking, billing, trust account management, collections, bookkeeping, expense management, accounts payables, payroll, audits, taxes. • Consults with the Owner and designs workflow processes and systems to build in professional and ethical representation and Firm profitability. Qualifications: We are looking for a professional who has already worked at an executive level in law firm operations. You must also be able to show evidence of your prior success with: • Business process refinement and systems management to ensure profitable operation of the Firm • Systems management to ensure matters are handled appropriately so that client needs are met, legal and ethical requirements are met, and clients receive excellent service • Employee leadership, performance management, supervision (and termination) • Understand and use common financial reports to make decisions (Budget Variance, P & L, Cash Flow Forecast) • Management of bookkeeper, accountant, technology systems, and other vendors What you can do is important. Who you are is equally important. The right person for this role must: • Have 5+ years experience as a Professional Legal Administrator • Not only adapt to change but drive it • Understand how to provide solutions, not just uncover problems • Have a high energy level • Have thick skin and high empathy • Have keen conflict resolution skills (not conflict avoidance skills) • Be metrics-driven and KPI-obsessed • Not only be comfortable with change and growth but welcomes it • Knowledge of and trust and estate law and special needs trust planning will be helpful but not required. Compensation: $90,000 DOE
