    We are looking for an experienced legal assistant who can help the busy attorneys and paralegals at our law office assist clients. You’ll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. You’ll also assist with preparing legal documents and contracts, and perform any other tasks as needed to ensure our firm is operating efficiently. If you work well in a fast-paced environment and consistently deliver a high-quality work product, reach out to us today!c Responsibilities: Complete legal research as needed under the supervision of attorneys and paralegals Work with attorneys and paralegals to create various legal documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when requested Process client billing properly using daily time records with help from the accounting department Schedule meetings and appointments for the team, such as depositions, make travel arrangements, and coordinate with outside vendors for events Manage office correspondence and administrative tasks such as answering phone calls, communicating with opposing attorney offices, taking dictation, responding to emails, and reminding the team of upcoming deadlines • In this role, you will take control of the front-end client experience by being the Firm’s first point of contact. Ideally, you will have some legal experience, but we are willing to train the right service-minded administrative professional. The most important qualities you can possess are a great attitude, the ability to learn quickly, and a sincere desire to care for our potential and existing clients.Your basic responsibilities: Among being able to address clients’ general questions and provide status updates as necessary, the Legal Intake Specialist will take an initial phone call and obtain the pertinent facts and information necessary for the attorneys to determine the substantive course of action. Once it has been determined that the call is a viable prospective client, the legal intake specialist will gather the documentation and information necessary to prepare a complete client file. The Legal Intake Specialist will typically reach out to the client about a week after the engagement has begun to be sure the client does not have any unanswered questions, to be sure the client feels cared about and isn’t confused about the process, and to encourage the client to feel good about asking questions. • Answer phones and welcome in-person guests • Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload • Supervise new client intake and current client files through data entry and paperwork collection to ensure our cases are managed efficiently • Assist with the preparation of legal documents and client communications • Back up team members when they need a hand • Maintain strict legal practice and client confidentiality • Maintain paper and electronic case files • Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases • Receive and process daily mail • Maintain and update case management system, relationship management systems, document management systems, and other mission-critical systems • Perform basic administrative tasks Qualifications: Must be able to type at least 50 WPM Some college is preferred; high school diploma or equivalent is required 1-2 years of prior experience in a law firm environment as a secretary or administrative assistant Proficient with MS Office products Organizational skills and communication skills are necessary for this position If the following describes you, then YOU may be the person we are looking for: • Understand the importance of greeting all potential and existing clients with a warm, friendly welcome • Skilled at communicating with people by phone, in person, and by email • A relationship-builder who is comfortable interacting with different types of personalities and all levels of authority • Eager to learn new tasks and computer systems • Solid data entry, spreadsheet management, and computer skills • CRM and case management software experience a plus • Value doing it right the first time and always proofread and double-check your work • Understand how to handle confidential information • Appreciate praise and welcome constructive feedback because you’re committed to continual growth • Genuinely care about people and want to deliver an experience that turns clients into raving fans These qualifications are non-negotiable: • Available to work and be in the office Monday – Friday, 9:00 a.m. – 5:30 p.m • Have strong administrative skills • Have strong attention to detail • Computer savvy and comfortable working with various computer programs, databases, and systems • Reliable, trustworthy, and drama-free • You don’t think making coffee or getting our guests a beverage is beneath you • Positive, high-energy team player • You care about your job and want to continue your professional development Compensation: $16 - $20 per hour
