    We're looking for a Client Services Coordinator to join our firm! Do you enjoy providing clients with an exemplary customer service experience? We are seeking someone who is outgoing, customer service orientated, and who can create relationships and a connection with potential new clients of the firm. This is a position that balances the art and science of outstanding customer care. It requires the right combination of empathy, communication skills, attention to detail, and technical know-how. You'll play an integral role in creating memorable client experiences and helping the owner of the firm grow the business. In this role, you will take control of the front-end client experience by being the firm’s first point of contact. Ideally, you will have legal experience, but we are willing to train the right service-minded administrative professional! The most important qualities you can possess are a great attitude, the ability to learn quickly, and a sincere desire to care for our potential and existing clients. This is a full-time, in-office position. Responsibilities: • Take phone calls and messages, and document them appropriately pursuant to firm procedures • Conduct basic intake questions by phone for prospective clients and determine whether potential clients’ cases are within the firm's practice area • Assist with preparing and maintaining retainer agreements • Handle client relationships through retention, obtaining preliminary information and documents for prospective clients and new cases (including sending questionnaires and retainer agreements) • Onboard new clients by ensuring Engagement Agreements are signed and retainers are fully paid • Enter and update potential client information into CRM/law firm systems • Schedule initial consultation appointments with attorneys for qualified potential clients • Organize, maintain, and practice all Firm processes • Calendar and confirm phone and in-person meetings and enter status updates in the CRM system for prospective clients and current clients • Conduct regular proscribed client satisfaction surveys and obtain client reviews • Communicate with clients before and after their initial consultation • Prepare client retention and intake reports • Assist with setting up the conference room for meetings, as needed • Smoothing out the engagement process and making sure new clients feel welcomed • Makes regular contact with current clients and former clients to ensure we keep our relationship alive and find ways to continue to be of service • Follow up with potential clients who did not engage the firm at the initial consultation appointment to answer questions and obtain signed Engagement Agreements and retainer payments • Performing administrative support tasks as assigned Qualifications: • Experience working in an office in a clerical/secretarial role with legal experience is a plus. • Available to work in-office Monday through Friday, 9:00 a.m. – 5:30 p.m. • You are a reliable, positive, trustworthy team player • Multitasking ability to move quickly from one inquiry to another in a fast-paced environment • Organizational skills to keep track of prospective clients’ contact and case information • You must be comfortable with a computer, databases, and CRM system(s), and demonstrate proficiency with common office applications, including proficiency in Microsoft Word and Excel (knowledge of Actionstep is a plus!) • Strong written and oral communication skills to explain the next steps and effectively communicate with potential new clients • Verbally fluent in English. Spanish speaking is a plus The following is preferred, but not required of the candidate: • Basic understanding of various legal specialties, specifically Estate Planning, Conservatorships, Guardianships, Special Needs Trusts, and Probate • Familiarity with ActionStep CRM • Possess an Associate’s Degree or higher Compensation: $22 - $29 per hour
